EssentialDuties: Booksandschedulesmultiplefacilitiesandservicesforusebycampusandoutsideorganizations;preparescontract,determiningfeesandtermsofcontract. Coordinateswithclientstodeterminetechnicaland/orotherspecialrequirementsneededforevent;determinesresourcesavailablesuchasequipmentorlaborandcompareswitheventrequirements. OverseesandmonitordailyoutdoorMallprogramactivitytoestablishrapport,providecustomerservice,andenforcepolicies. ServesasaprimaryreferencesourcetoassistdepartmentsandemployeesinresolvingdiscrepanciesorproceduralproblemsutilizingknowledgeofEventandMeetingServicesarea;respondstotechnicaladministrativequestionsensuringnecessaryfollow-upisperformed. Providesassistanceandinformationtofaculty,staff,students,andoutsideorganizationsregardingfacilityuse,servicesandcapabilities;maintainscontactwithpatronsorclientsviaface-to-faceinteraction,Zoom,video-call,telephone,emailorwrittencorrespondence.Servesasvenuerepresentativebyrespondingtoclients’questionsorcomplaints. Collaboratewithmanagementtoanalyzeriskanddevelop,prepare,andimplementsafetyandsecuritypoliciesandproceduresforallevents. WorkcollaborativelyacrossvariousdepartmentswithintheUniversityandwithpopulationsandgroupstoachieveobjectives Providecustomerservicesandactasaliaisontofaculty,staff,students,alumniandthepublic. Prepareswrittenreportsandmaterialsonservices,usageandfacilityoperations. Maintainsaworkingknowledgeofthehospitalityindustry,newdevelopmentsandtrends,andwhereapplicable,makerecommendationstokeepourprogramcompetitiveandcurrent. ParticipatesinweeklymeetingswithOperationsandCateringStafftoensureset-uprequestsandmeetingconferenceneeds. SupportsOperationalstaffwitheventandbuildingoperationswhenneeded. Regularactivitiesrequireabilitytoquicklychangeprioritieswhichmayincludeand/oraresubjecttoresolutionofconflicts Representsuniversityinpublicrelations/liaisoncapacityonmattersrelatingtoeventsandatdepartmentmeetings.ActsasresourcetostudentsandstaffoneventplanningprocessfortheUniversity. MaintainseffectivecomputersupportforoursoftwareprogrambyworkingwithvendorsandUniversityTechnologyOfficestaff. Coordinatesdepartmentalbannerframereservationsincludingpromotion,reservations,physicalintakeanddeployment,andrecyclingofbanners. HelpspromoteSpirit,Pride,andTraditionamongcolleaguesandstudentsbyimplementingandparticipatinginprogramsthatpromotethesevalues. Performsfunctionsrelatedtospecificfacilityassignedsuchastrackingeventattendance,developmentofwebsite,brochures,orotherpromotionalmaterialsandcollateral. Includessomeeveningsandweekends,androtationalon-callsupportofoperations. Otherdutiesandresponsibilitiesasassigned.
