Johnson & Wilson Companies is seeking a highly organized, proactive, and emotionally steady Executive Operations Manager / Senior Executive Assistant to support the Founder & CEO across a growing family of real estate, construction, title, development, education, technology, and community development companies.
This is not a traditional administrative assistant role. This is a high-trust, high-capacity position for someone who can operate closely with a business-minded CEO, manage competing priorities, protect executive time, follow up across multiple companies, and help turn ideas into organized action.
The right person must be polished, professional, discreet, resourceful, and able to stay calm under pressure. This position requires strong judgment, excellent written communication, research ability, follow-through, and comfort working in a fast-paced environment where priorities can shift quickly.
For the right candidate, this role may grow into a Chief of Staff-level position over time.
Compensation:$55,000 - $60,000 yearly
Responsibilities:Executive Support & Calendar Management
- Serve as a primary support point for the Founder & CEO.
- Manage calendar, scheduling, meetings, reminders, travel, itineraries, and daily priorities.
- Prepare meeting agendas, notes, action items, and follow-up lists.
- Help protect the CEO’s time by organizing priorities and reducing unnecessary interruptions.
- Track important deadlines, commitments, and open items across multiple companies.
Operations & Follow-Up
- Help manage tasks assigned to employees, vendors, consultants, and outside partners.
- Follow up with team members to ensure deadlines and commitments are met.
- Create and update internal systems, checklists, procedures, and training materials.
- Assist with office organization, supplies, filing systems, documents, and company records.
- Support basic bookkeeping, invoice tracking, expense organization, and administrative reporting as needed.
Research, Writing & Special Projects
- Conduct research and prepare summaries for the CEO on real estate, development, title, construction, legal, government, funding, software, and business matters.
- Assist with professional letters, emails, handwritten notes, proposals, presentations, and company communications.
- Help organize due diligence materials, project files, proformas, funding opportunities, compliance items, and strategic initiatives.
- Assist with government contract research, grant/funding research, CDE/NMTC-related project tracking, and other business development opportunities.
- Support special projects across Johnson & Wilson’s real estate, construction, title, development, education, technology, and community development divisions.
Communication & Professional Representation
- Communicate professionally with agents, clients, attorneys, lenders, vendors, consultants, government contacts, investors, and community partners.
- Maintain confidentiality and discretion with sensitive business, legal, financial, personnel, and client information.
- Represent the CEO and Johnson & Wilson Companies with professionalism, responsiveness, and good judgment.
- Prior experience as an Executive Assistant, Senior Administrative Assistant, Operations Coordinator, Chief of Staff, Project Coordinator, Paralegal, Office Manager, or similar role.
- Strong writing, research, and document preparation skills.
- Experience in real estate, construction, title, development, legal, finance, government, or professional services is a plus.
- MBA, law degree, paralegal background, government contract experience, or development experience is a plus but not required.
- Comfort with technology, spreadsheets, CRM systems, Canva, Google Workspace, Microsoft Office, and project management tools is helpful.
