The Surgery Coordinator manages and coordinates all aspects of outpatient surgical procedures, ensuring smooth operations, patient care, and administrative efficiency.

Key Responsibilities

Responsible for overseeing the entire surgical process. Duties include:

1. • Scheduling and Coordination : Organizing surgical procedures, preoperative assessments, and postoperative follow-ups in collaboration with the surgeon, nurses, anesthesiologists, and administrative staff at selective surgical centers and in-office.
   • Patient Interaction : Acting as the main point of contact for patients, explaining preoperative and post-operative instructions, addressing concerns, and ensuring patient satisfaction. 
   • Administrative Tasks : Managing patient records, verifying insurance coverage and authorizations, determining reimbursement, patient liability, preparing consents for treatment, collecting copays/co-insurances, preparing bills, maintaining surgical logs.  For cosmetic services: obtaining consents, collecting charges, taking pre and post photos (with appropriate patient authorization)
   • Clinical Support : Ensuring surgical rooms are prepared with necessary equipment and supplies, maintaining sterile environments, and reporting any equipment/supplies issues. 
   • Communication and Liaison : Coordinating with insurance companies, managed care organizations, and other third-party reviewers to confirm procedure coverage and length of stay (if any) 
   • Problem-Solving : Handling scheduling conflicts, emergency surgeries, and unexpected changes in surgical plans 

Required Skills and Competencies

1. • Medical Knowledge : Understanding of surgical procedures, medical terminology, and hospital protocols. Otolaryngology and/or facial plastic surgery preferred.
   • Organizational Skills : Ability to manage multiple schedules, appointments, and administrative tasks efficiently. 
   • Communication Skills : Strong interpersonal skills to interact with patients, families, and medical staff. 
   • Attention to Detail : Accuracy in handling records, insurance verification, estimating service charges, and surgical documentation. Maintaining detailed records of all communication and transactions.
   • Problem-Solving and Adaptability : Ability to work under pressure in a fast-paced environment. 
   • Customer Service Orientation : Ensuring a positive patient experience throughout the surgical process. 

Qualifications and Experience

1. • Education : A degree in healthcare or a related field preferred 
   • Certifications : A certificate from an accredited Medical Assistant (MA) institution required   
   • Experience : at least 2 years in a clinical or surgical setting, with familiarity in patient care, medical terminology, and healthcare systems 

Work Environment and administrative responsibilities.

·         Work is at an Otolaryngology (ENT) and Cosmetic surgery private outpatient medical practice.

·         Administrative responsibilities : Supports office administrative functions, such as answering calls, scheduling appointments., collecting funds.

·         Clinical administrative duties : conducting regular clinical supplies inventory and ordering supplies as needed, calling in prescriptions, ordering ancillary services as requested by physician.

·         Clinical duties : perform back-end functions to assist physician with in-office procedures and perform allergy tests as needed.
