Outside Service Coordinator (Manheim)

Company Cox Automotive – USA. Job Family: Group Vehicle Operations. Job Profile: Account Operations Specialist II (Management Level, Individual Contributor). Flexible Work Option: No remote; must work at specified Cox location. Travel: % (not specified). Compensation: Hourly base pay rate $20.10 - $30.10/hour. Additional compensation may include commission and incentive program. Work Schedule Monday, Wednesday, Thursday, Friday (8am-4:30pm); Tuesday (6am-1pm). Job Responsibilities Primary point of contact for resolving client issues across varying account complexities, collaborating with auction teams and stakeholders. Provide exceptional customer service by promptly addressing inquiries about vehicle condition and discrepancies; foster positive relationships with internal and external stakeholders. Coordinate sales vehicle run processes; maintain direct communication with auction departments to ensure timely inventory movement and reconditioning services. Build positive relationships with assigned clients; examine vehicles in the sales lineup to ensure standards and quality. Complete estimates for reconditioning services to improve vehicle value; coordinate and approve reconditioning services. Conduct condition reports and imaging audits to reduce risk of policy loss and goodwill expenses. Demonstrate proficient knowledge of condition report data and vehicle inspection processes to identify paint, body repairs, frame damage, PDR, and more. Educate clients on auction processes; recommend and upsell Manheim/CAI products and services based on client needs. Prioritize tasks effectively; maintain professionalism in client relationships; assist in resolving client issues promptly. Coordinate redemptions, ensuring proper documentation and compliance with all PII policies and procedures while delivering excellent customer service. Ensure strict adherence to Cox standards and guidelines for reconditioning services; maintain consistent quality and accuracy per client SLA guidelines. Apply knowledge of NAAA guidelines to ensure appropriate vehicle announcement placement. Utilize computer software including Microsoft Office and internal business platforms. Participate in safety activities and follow all safety and health procedures. Perform any other duties assigned. Qualifications Minimum: High School Diploma/GED and 3 years’ experience in a related field. Alternatively: Any degree or certification beyond HS level in a related discipline, or 5 years’ experience in a related field. Valid driver’s license; safe drivers required. Physical and mental ability to perform duties within required timeframes. Self‑starter able to work with minimal supervision. Ability to handle multiple tasks simultaneously. Proficient knowledge of condition report data and vehicle inspection processes. Excellent verbal and written communication skills. Preferred: Ability to operate vehicles with standard and automatic transmission. Preferred: Prior experience in vehicle reconditioning and general auto‑body knowledge.
