Accounting Specialist

Qualifications Bachelor’s degree or greater in Accounting, or a closely related field required. Minimum 3–5 years of experience in accounting, bookkeeping, accounts payable, accounts receivable, or a related financial operations role. Strong understanding of AP, AR, bank reconciliations, month‑end close support, and general accounting principles. Experience with purchase orders, vendor invoices, customer payments, pricing updates, and financial reporting. Ability to communicate professionally with vendors, customers, and internal team members. Highly organized, detail‑oriented, and deadline‑driven. Ability to work independently, take ownership of recurring accounting responsibilities, and maintain accurate records without constant supervision. Position Summary The Accounting Specialist will be responsible for managing core accounting functions, including accounts receivable, accounts payable, bank reconciliation, vendor and customer balances, purchase order pricing updates, and weekly/monthly financial reporting. This person will play a key role in ensuring that all accounting activity is accurate, current, and properly documented. The ideal candidate is proactive, organized, trustworthy, and capable of identifying problems before they become larger issues. They should be comfortable working independently while also communicating clearly with leadership, vendors, customers, and internal teams. Accounts Receivable Manage customer invoicing, payment tracking, and open receivables. Monitor outstanding customer balances and follow up to ensure payments are received on time. Maintain accurate customer account records. Research and resolve payment discrepancies, short payments, credits, and unapplied payments. Provide regular updates on overdue accounts and collection status. Work with leadership to identify accounts that require escalation. Accounts Payable Manage vendor invoices, payment scheduling, and open payables. Ensure vendor bills are entered accurately and paid on time. Match vendor invoices against purchase orders, packing slips, receiving records, and internal approvals. Track vendor balances and resolve billing discrepancies. Communicate with vendors regarding payment status, credits, statement reconciliation, and invoice issues. Maintain organized records of all vendor payments and supporting documentation. Bank Reconciliation and Financial Accuracy Perform weekly and monthly bank reconciliations. Reconcile bank activity, credit card activity, deposits, payments, fees, and transfers. Identify discrepancies and resolve issues quickly. Ensure all transactions are properly categorized and recorded. Maintain clean, accurate books on a weekly and monthly basis. Support month‑end and year‑end close processes. Purchase Order and Pricing Updates Review purchase orders and vendor invoices for pricing accuracy. Update item pricing based on purchase order changes, vendor cost updates, and approved internal pricing adjustments. Ensure pricing changes are properly documented and communicated. Work with purchasing, operations, and leadership to maintain accurate cost and margin data. Identify inconsistencies between purchase orders, vendor invoices, and system pricing. Weekly and Monthly Reporting Prepare weekly and monthly accounting reports showing money coming in and money going out. Create cash flow, receivables, payables, and balance reports for leadership review. Track open customer and vendor balances. Compensation: $80,000 to $90,000 per year. Exact compensation may vary based on several factors, including skills, experience, and education.
