Pay: $20–$25/hour (depending on experience)

Work Schedule: Monday–Friday, 8:00 AM/9:00 AM–4:00 PM/5:00 PM; 40 hours per week. Hybrid schedule with two days onsite per week.

Job Description:

Our client is seeking a Digital Publishing Support Specialist to join its Scientific Publications and Guidelines division. This position will provide day-to-day operational support for the digital platforms, communications, and publishing activities associated with a family of peer-reviewed medical journals.

The ideal candidate is highly organized, detail-oriented, and comfortable working in a deadline-driven publishing environment. This role requires someone who can coordinate across multiple teams, manage recurring publishing processes, communicate effectively with internal and external partners, and identify opportunities to improve workflows.

Key Responsibilities:

• Coordinate with content, web, editorial, and journal management teams to develop and distribute digital newsletters and other subscriber communications.
• Help maintain publishing calendars and schedules for journal issues and individual articles, ensuring updates are accurately communicated to the appropriate stakeholders.
• Maintain and update digital publishing, marketing, advertising, and tracking materials, including spreadsheets and related documentation.
• Build and prepare email communications by incorporating article details, promotional materials, advertising, and podcast-related content.
• Partner with editorial staff to verify and revise article-level information before content is distributed.
• Prepare email samples and related materials for sponsored or advertising content in coordination with external partners.
• Maintain standard operating procedures and documentation, incorporating workflow improvements when appropriate.
• Conduct routine reviews of the organization's journal website to help identify content or publishing updates that require attention.
• Assist with digital publishing platforms, applications, and related operational processes.
• Collaborate with internal teams and external vendors to keep projects moving according to established deadlines.
• Take on additional publishing and digital support responsibilities as needed.

Qualifications:

• Bachelor’s degree or equivalent relevant professional experience.
• 3–5 years of experience in professional editing, digital publishing, or a related field.
• Background working with professional associations, healthcare organizations, scientific publishing, medical publications, or member-focused organizations preferred.
• Experience supporting email marketing, newsletters, streaming/podcast content, and web content management platforms.
• Strong proficiency with Microsoft Office 365 applications, including Word, Excel, OneDrive, and SharePoint.
• Experience with Monday.com is required.
• Familiarity with project management or collaboration platforms such as JIRA, Asana, or Confluence is beneficial.
• Experience with newsletter or email marketing platforms such as Vertex, or comparable systems, is preferred.
• Familiarity with podcast or streaming platforms such as Libsyn, or similar technology, is a plus.
• Working knowledge of XML is helpful.
• Experience working with SQL Server databases is a plus.
• Excellent written and verbal communication skills.
• Strong attention to detail and ability to manage multiple priorities simultaneously.
• Ability to work independently while maintaining strong collaboration with cross-functional teams and external stakeholders.
• Demonstrated ability to manage assignments from initiation through completion while meeting firm deadlines.

Additional Details:

• Contract assignment expected to run through the end of the year, with potential extension into 2027.
• True hybrid schedule with two onsite days per week.
• Standard workweek is 40 hours.
• Overtime is not expected unless specifically approved by the supervisor.
• This is a fast-paced role supporting time-sensitive digital publishing activities.
• Candidates should be comfortable working with multiple teams, managing competing deadlines, and following established publishing workflows while identifying opportunities for improvement.
