Billing Portal Specialist

Billing Portal Specialist On-Site in Louisville, KY The Billing Portal Specialist is responsible for managing and maintaining customer billing portals, ensuring timely invoice submission, payment tracking, and account accuracy. This role works closely with accounting, accounts receivable, customers, and internal operations teams to resolve billing discrepancies and improve payment processes. Responsibilities Upload and manage invoices through customer billing portals Monitor billing portal requirements, deadlines, and compliance standards Verify invoice accuracy, supporting documentation, and purchase order details Track invoice statuses, payment updates, and outstanding balances Research and resolve billing discrepancies or rejected invoices Communicate with customers regarding portal access, invoice issues, and payment inquiries Collaborate with Accounts Receivable and Accounting teams to support collections efforts Maintain organized billing records and customer account documentation Assist with month-end reporting and reconciliation processes Ensure compliance with company billing policies and customer-specific requirements Qualifications High school diploma or equivalent required; associate degree preferred 2+ years of billing, accounts receivable, or administrative experience preferred Experience using customer billing portals and accounting software Strong attention to detail and organizational skills Excellent communication and problem-solving abilities Proficiency in Microsoft Office, especially Excel Ability to manage multiple deadlines in a fast-paced environment Preferred Experience Construction, staffing, healthcare, logistics, or service industry billing experience Familiarity with ERP systems such as SAP, Oracle, NetSuite, or QuickBooks Experience working with large customer portals (Coupa, Ariba, Textura, etc.) Compensation and Benefits Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs.
