Duties and Responsibilities: 

Job Title: Accounts Payable (AP) & Unit Clerk Location: Dumont Center for Rehab Department: Administration / Nursing Reports To: Administrator / Director of Nursing Position Summary

The Accounts Payable (AP) & Unit Clerk is responsible for supporting both the financial operations and daily administrative functions of the nursing unit. This dual-role position ensures timely processing of invoices, accurate record-keeping, and efficient coordination of clerical duties to support nursing staff and resident care.

Key Responsibilities

Accounts Payable Duties

• Process and verify invoices for accuracy, proper authorization, and compliance with facility policies

• Enter invoices into accounting system and ensure timely payment

• Reconcile vendor statements and resolve discrepancies

• Maintain organized financial records and filing systems

• Communicate with vendors regarding billing inquiries

• Assist with month-end closing and reporting tasks

• Track expenses and support budget monitoring

Unit Clerk Duties

• Provide clerical support to nursing staff and unit operations

• Maintain resident records, charts, and documentation in compliance with regulations

• Answer phones, direct calls, and greet visitors in a professional manner

• Coordinate communication between departments, staff, residents, and families

• Schedule appointments, tests, and transportation for residents

• Assist with admissions, transfers, and discharges documentation

Qualifications

• High school diploma or equivalent required; associate degree preferred

• Prior experience in accounts payable, healthcare administration, or clerical support preferred

• Knowledge of basic accounting principles and office procedures

• Familiarity with electronic health records (EHR) and accounting software is a plus

• Strong organizational and multitasking skills

• Excellent communication and interpersonal skills

• Ability to handle sensitive information with confidentiality (HIPAA compliance)

Work Environment

• Fast-paced nursing home or long-term care setting

• Frequent interaction with staff, residents, and families

• Combination of desk work and on-unit administrative support

Physical Requirements

• Ability to sit, stand, and walk for extended periods

• Great computer skills
