The Administrative Coordinator serves as the operational and administrative hub of Student Housing & Residential Life (SHRL). This position is responsible for coordinating the daily administrative functions of the department, ensuring a welcoming and professional office environment, supporting the Senior Director, and maintaining the systems, documentation, and operational processes that allow the department to function efficiently. The Administrative Coordinator serves as the operational and administrative hub of Student Housing & Residential Life (SHRL). This position is responsible for coordinating the daily administrative functions of the department, ensuring a welcoming and professional office environment, supporting the Senior Director, and maintaining the systems, documentation, and operational processes that allow the department to function efficiently. Examples of Duties KEY RESPONSIBILITIES
- Office Operations & Customer Experience (30%): Serve as the primary coordinator for the SHRL Administrative Office.
- Executive & Administrative Support (20%): Provide executive administrative support to the Senior Director.
- Department Operations & Process Management (20%): Serve as the department's administrative process coordinator.
- Communications & Coordination (15%): Support internal and external communication efforts.
- Project & Strategic Coordination (10%): Support departmental initiatives and continuous improvement.
- Other Duties (5%): Perform other duties as assigned that support departmental operations and student success.
Qualifications MINIMUM QUALIFICATIONS
Education and Experience:
- Equivalent to graduation from a four-year college or university.
- 2 years of progressively responsible experience in administrative support, office management, or program coordination experience.
- A combination of education and experience that demonstrates the required knowledge, skills, and abilities required to perform the duties of this position.
- Experience using Microsoft Office Suite and Google Workspace.
- Experience coordinating administrative or business operations in a complex organization.
- Experience coordinating multiple priorities, projects, and deadlines simultaneously.
- Experience developing, maintaining, or improving administrative processes or documentation.
- Experience working in higher education or student affairs.
- Experience supervising student employees.
- Experience maintaining Standard Operating Procedures (SOPs), policies, or administrative manuals.
- Experience coordinating purchasing, travel, or budget-related administrative processes.
- Experience with project management or continuous improvement initiatives.
- Experience using StarRez or similar housing or enterprise management systems.
- Experience supporting senior-level leadership.
- Demonstrated commitment to providing exceptional customer service.
- Demonstrated understanding of and commitment to the CSUMB Vision Statement and the core values of mutual respect, collaboration and service orientation, multiculturalism and diversity, community service and institutional excellence.
