Job Title : Office Administrator

Employment Type: Full-Time
Location: Gastonia, NC
Pay: $18.00–$22.00 per hour
Schedule:  Monday – Friday, 8:00 AM – 5:00 PM

Job Summary:

We are seeking a reliable, organized, and professional Office Administrator to support the day-to-day operations of our office. The ideal candidate will have strong administrative and communication skills, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced environment. This role will assist with office organization, client communication, staff coordination, documentation, and overall administrative efficiency.

Key Responsibilities:

• Manage the ongoing organization and coordination of office administration and procedures, including controlling correspondence, supervising and training office staff, designing and implementing filing systems, and delegating and monitoring various tasks

• Inform clients of project status and request necessary information or documentation

• Meet with clients to present deliverables and collect payments

• Provide administrative support as needed, including attending meetings, taking meeting notes, preparing reports, and maintaining executive calendars

• Answer incoming calls and make outgoing calls to clients in a professional and courteous manner

• Respond to and resolve client concerns in a friendly, professional, and timely manner

• Process outgoing mail and maintain office postage supplies

• Maintain accurate internal mail and call logs

• Scan, organize, and maintain client documents and records

• Identify and implement procedural and policy changes to improve office efficiency and workflow

• Assist with special projects and ad-hoc administrative requests as needed

• Keep management informed of office activities, client concerns, and important updates

• Maintain a professional and organized office environment

Required Qualifications:

• Previous experience in office administration, administrative support, customer service, or a related role

• Strong organizational skills and attention to detail

• Excellent written and verbal communication skills

• Ability to manage multiple priorities and meet deadlines

• Proficiency with Microsoft Office, including Word, Excel, and Outlook

• Professional and courteous phone and client communication skills

• Ability to work independently while also collaborating effectively with a team

• Strong problem-solving and follow-up skills

• Ability to maintain confidentiality and handle sensitive information professionally

Preferred Qualifications:

• Previous experience supervising or training office staff

• Experience working directly with clients or customers

• Experience maintaining calendars, preparing reports, and organizing meetings

• Experience with document management and electronic filing systems

• Associate or Bachelor’s degree in Business Administration, Office Administration, or a related field

• Experience in a professional office or project-based environment
