Administrative Assistant

SMS Mill Services, LLC, located in Latrobe, PA is seeking a detail-oriented and proactive Administrative Assistant to join our team. This role is essential in providing administrative support to ensure the efficient operation of multiple site locations. The ideal candidate will be responsible for payroll, recruiting, ordering parts, managing inventory, and acting as a team member for both the HR and maintenance departments. This position requires a professional demeanor and the capability to communicate effectively with various stakeholders. This position is inside a steel mill in a heavy industrial setting.

Responsibilities

• Conduct necessary purchasing as needed, matching PO's to invoices to ensure accuracy. (Obtain quotes for requested purchases, create requisitions, receive materials and services rendered in JD Edwards,
• Assist with Payroll tracking, calculating, input and monitoring time & attendance.
• Assist employees with HR related issues: new hire paperwork, forms, changes, etc.
• Assist with hourly employee recruiting
• Develop and maintain positive working relationships with co-workers, customers and vendors.
• Work as part of the team to meet, or exceed, KPI (Key Performance Indictor) efficiency and performance standards.
• Provide support to team members by managing correspondence and preparing documents.
• Maintain office supplies inventory and place orders as necessary.
• Handle confidential information with discretion and integrity.
• Support various administrative projects as assigned.

Requirements

• Proven experience as an Administrative Assistant or in a similar role
• Prior experience working in an Industrial site is a plus.
• Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• Excellent organizational skills with a keen attention to detail.
• Effective time management abilities to prioritize tasks efficiently.
• Familiarity with calendar management and front desk operations is a plus.
• Strong phone etiquette and interpersonal communication skills.
• Ability to work independently while also being a collaborative team player.
