This entry level role supports the Product Resources Manager (PRM) in executing tasks that ensure products, packaging, certifications, and documentation are accurate, compliant, and ready for market. This role helps streamline workflow by gathering information, preparing documentation, coordinating approvals, and assisting with label and packaging processes. The ideal candidate is detail‐oriented, organized, and comfortable working cross‐functionally with internal teams, suppliers, and customers.

Essential Position Functions and Duties:

• Partner with internal sales personnel and other key employees, General Managers, managers, employees, brokers and customers as needed to gather all information required to bring new and/or updated product to ready-for-market status.
• Assist PRM with customers on new and updated packaging requirements. Assist in seeking all necessary packaging components. Coordinate evaluation of new packaging items with relevant parties
• Support the PRM by collecting information, preparing documentation, and coordinating tasks from initial concept through finished product.
• Facilitate in the completion of product resources documents: finished good number registration request, packaging approval, label approval and final product approval. Obtain required approvals and signatures prior to first production runs for new or revised products or packaging.
• Maintain accurate and organized records of all approvals, documentation, nutrition documents and project files.
• Provide administrative support to the PRM for label compliance activities. Assist in reviewing labels for accuracy and basic compliance requirements under PRM guidance. Route artwork to designated departments for review. Manage label reprint confirmations with printer suppliers.
• Support regulatory submissions for product claims (e.g., Organic, Non-GMO Project Verified, Certified Plant-Based) by preparing applications, organizing supporting technical data, and submitting updated artwork.
• Organize and maintain documentation required for annual certification audits and renewals.
• Assist with completion of shipping custom documents such as United States-Mexico-Canada Agreement (USMCA) forms.
• Prepare and submit customer documentation and portal uploads as required.
• Execute day-to-day administrative tasks and other duties as assigned to optimize departmental workflow.
• Maintain up‐to‐date knowledge of labeling regulations through ongoing training, webinars, newsletters, and occasional travel for educational opportunities.
• All other duties as assigned.

Required Qualifications and Competencies:

• Bachelor’s degree or equivalent administrative experience
• Minimum 1 year of experience in an administrative position, ideally within a food manufacturing company.
• Familiarity with food industry operations, manufacturing process and food labeling regulatory requirements
• Knowledge in Word, Excel, PowerPoint
• Knowledge: basic mathematics-addition, subtraction, multiplication.

Preferred Qualifications and Competencies:

• Minimum 1-3 yrs experience in Food Science position.
• Knowledge in Word, Excel, PowerPoint.
• Knowledge: basic mathematics-addition, subtraction, multiplication.
• English Language (Speaking/Listening/Writing).
• Skills: Verbal and written communication skills, reading comprehension, active listening, problem solving, coordination, service orientation, multitasking, team player, independent, detail oriented.

Work Environment and Physical Demands:

• Work Environment

This job operates in an office environment and routinely use standard office equipment such as computers, phones, calculator, photocopiers, filing cabinets and fax machines. This job also operates in a food production environment where raw materials are put through a process to produce a finished good that is suitable for consumption. Room temperature may vary. This role is routinely surrounded by machinery, temperature fluctuation, continuous noise and smells.

While performing the duties of this job, the employee is regularly required to talk, walk, hear or stand. This is role a sedentary role while in the office environment. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds. Also on occasion may be required to push, pull, grasp, reach stoop, squat, kneel, climb.
