Pre-Litigation Admin

Position Summary This role involves coordinating and managing the inspection and download of vehicle data, specifically from Airbag Control Modules (ACM) and Electronic Control Modules (ECM), in support of legal investigations. The position requires strong communication with attorneys, insurance adjusters, experts, and opposing counsel, as well as attention to detail in documenting and storing data in the firm’s case management system. Key Responsibilities Follow up, obtain, and save ACM/ECM data in Filevine as requested by the RRT (Rapid Response Team). Communicate with assigned attorneys and case management team regarding the need for additional downloads. Coordinate with insurance adjusters and opposing counsel to hire experts and schedule inspections/downloads. Locate vehicles requiring inspection or download. Schedule and confirm inspections/downloads and relay information to relevant parties. Hire qualified experts to perform the inspections/downloads. Receive, post, and organize all expert data, including reports, photos, and invoices, into Filevine. Maintain detailed records and create folders for inspection data within the appropriate Filevine directories. Ensure all parties are properly informed and represented via email. Facilitate full accident reconstruction reporting from experts when downloads are complete. Input and pay related expenses in the firm’s system. Qualifications Comfortable answering and making professional phone calls to clients, attorneys, insurance adjusters, and vendors. Strong written communication skills for sending clear and professional email correspondence. Proven ability to schedule and coordinate appointments with multiple parties. Highly organized and detail-oriented with the ability to manage multiple tasks and deadlines. Physical Requirements Office environment with normal business hours necessary to satisfactorily perform job functions. Stationary Position – Must be able to remain in a stationary position up to 50% of the time. Move or Traverse – This position needs to occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc. May occasionally ascend/descend the stairs to get to other floors, cafeteria and parking area. Dexterity – constantly operates a computer and other office machinery such as a copy machine/printer. Move, Transport, Position, Put, Install, Remove – Occasionally moves supplies weighing up to 10 pounds for various presentation and event needs. Communicate, Detect, Converse with, Discern, Convey, Express oneself, Exchange information – The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations. Detect, Determine, Perceive, Identify, Recognize, Judge, Observe, Inspect, Estimate, Assess – The ability to observe details at close range (within a few feet of the observer).
