SALARY RANGE: $22.00 - $34 per hour

What Does The Administrative Assistant Do At SpecSys?

• Independently able to create presentations using PowerPoint once data is handed off.
• Respond professionally and timely to all emails and phone calls.
• Maintain confidential and sensitive business, financial, personnel, and legal information with the highest level of discretion.
• Serve as a liaison between executives, employees, customers, vendors, and business partners while fostering professional relationships.
• Assist with special projects, research, data collection, and report preparation as directed by executive leadership and independently create excel files from raw data.
• Support office operations by coordinating supplies, services, and administrative processes as needed.
• Assist with client sourcing and marketing campaigns online and via social media.
• Process and perform data entry to maintain accurate electronic and paper filing systems.
• Maintain organized records and ensure documents are complete, accurate, and readily accessible.
• Assist with printing, sorting, and filing projects, both routine and ad hoc.

What Are We Looking For In A Great Administrative Assistant?

• Demonstrates reliable attendance and punctuality.
• Strong written and verbal communication skills, including proper grammar, spelling, and punctuation.
• Knowledge of general office practices, procedures, and equipment.
• Proficient in Microsoft Office, particularly Excel and Outlook.
• Ability to understand and follow verbal and written instructions.
• Strong attention to detail and organizational skills.
• Self-motivated with the initiative to ask questions, solve problems, and work independently.
• Ability to manage multiple priorities while maintaining accuracy and professionalism.
• PHYSICAL DEMANDS: The physical demands and work environment are that which are typically found in an office, with the potential for occasional lifting up to 40 lbs.
• High School Diploma or general education degree (GED).
• 2+ years of experience.
