HVAC SERVICE COORDINATOR / SCHEDULER

Goldstone Construction is seeking an organized, dependable, and highly motivated HVAC Service Coordinator / Scheduler to support our growing HVAC service department.

This position plays a key role in the daily operation of our HVAC division by receiving service requests, scheduling and dispatching technicians, communicating with property teams, tracking work orders, and helping ensure service calls are completed and documented efficiently.

KEY RESPONSIBILITIES

• Receive and process incoming HVAC service requests
• Schedule and dispatch HVAC technicians based on priority, location, and availability
• Coordinate daily technician schedules and service routes
• Communicate professionally with property managers, maintenance teams, clients, and technicians
• Track service calls from initial request through completion
• Follow up on open and pending work orders
• Update customers regarding technician arrival times and service status
• Collect and organize technician notes, photos, work orders, and job documentation
• Assist with preparing repair estimates and obtaining customer approvals
• Coordinate return trips, parts, and follow-up repairs
• Maintain accurate service records and internal tracking spreadsheets
• Assist with invoicing and ensuring completed work orders have proper documentation
• Help identify scheduling conflicts and resolve issues quickly
• Provide general administrative support to the HVAC and construction management teams

REQUIRED SKILLS

• Comfortable working in a fast-paced environment with changing priorities
• Strong computer and data-entry skills
• Experience with Microsoft Office, Outlook, Excel, or similar programs
• Ability to communicate effectively with field technicians and customers
• Detail-oriented with strong follow-through
• Dependable, punctual, and able to work independently
• Customer-service focused with a professional attitude

PREFERRED EXPERIENCE

Previous experience with HVAC, construction, property management, service dispatching, scheduling, or multifamily maintenance is strongly preferred.

Knowledge of HVAC terminology, service calls, repair estimates, work orders, and technician dispatching is a major plus.
