Grant Administrator for Land-Grant Programs I,II,III Job Summary The Grants Administrator for Land-Grant Programs serves as a key professional staff member responsible for managing pre-award research administration and financial proposal development activities for USDA and other sponsored programs within CAENS. This position serves as the primary departmental liaison to the Office of Sponsored Programs (OSP) and provides comprehensive support to faculty throughout the full lifecycle of sponsored funding. This position coordinates proposal development, budget preparation, compliance review, and submission processes, ensuring adherence to sponsor guidelines, institutional policies, and federal regulations, including the Uniform Guidance (2 CFR 200). The role also provides training and guidance to faculty and staff and supports the administrative, financial, and operational coordination of land grant sponsored programs. Responsibilities Serve as the CAENS liaison to the Office of Sponsored Programs (OSP) for all pre-award sponsored programs activities. Coordinate and manage proposal development and submission processes, including timelines, document assembly, internal routing, and final submission. Assist faculty in identifying funding opportunities, interpreting funding announcements, and determining eligibility. Develop, review, and revise grant and contract budgets and budget justifications in accordance with sponsor and institutional requirements. Ensure compliance with federal, state, sponsor, and university regulations, including Uniform Guidance (2 CFR 200). Prepare and process subrecipient commitment forms, cost‑share documentation, and other required pre‑award materials. Review expenditure‑related documentation for allowability, allocability, and compliance. Provide training and technical assistance to faculty and staff on proposals, budgets, requisitions, and check request processes. Maintain internal tracking systems for proposals, deadlines, and award statuses. Work collaboratively with faculty, department leadership, OSP, finance, and external partners. Assist with audit preparation and responses related to sponsored programs. Promote and uphold the University’s core values and ensure ethical and compliant grants administration practices. Work extended hours, including weekends and after‑work periods during peak season. Qualifications Level I Bachelor’s degree in Business, Finance, Accounting, or related field. 0–3 years of experience in administrative, finance, or grants‑related work. Level II Bachelor’s degree in Business, Finance, Accounting, or related field. 3–5 years of experience in grants, research administration, or sponsored programs. Experience with proposal development and budget preparation. Level III Bachelor’s degree in Business, Finance, Accounting, or related field (Master’s degree preferable). 5+ years of progressive experience in grants and research administration. Strong knowledge of Uniform Guidance (2 CFR 200) and federal grants management. Experience with USDA funding or other federal sponsors preferred. Skills and Attributes Knowledge of sponsored programs administration in a higher education or research environment, including proposal development, budget preparation, compliance, and award documentation. Knowledge of federal grant regulations and compliance requirements, including Uniform Guidance (2 CFR 200). Knowledge of USDA / NIFA and other federal, state, and private funding agencies. Knowledge of institutional policies, procedures, and internal controls related to grants and contracts. Knowledge of cost principles, subrecipient documentation, cost sharing, and audit and record‑keeping requirements. Skill in budget preparation, financial analysis, and development of budget justifications. Skill in organizing and managing multiple proposals, deadlines, and competing priorities. Strong attention to detail and accuracy in financial and compliance documentation. Strong written and verbal communication skills. Strong customer service and faculty support skills. Strong analytical and problem‑solving skills. Skill in interpreting and applying sponsor guidelines, federal regulations, and institutional policies. Proficiency in Microsoft Excel, Word, Outlook, and grants management systems. Ability to work independently and exercise sound judgment (particularly at Levels II and III). Ability to manage competing priorities and meet firm deadlines. Ability to communicate complex administrative and financial requirements in clear and practical terms. Ability to collaborate effectively with faculty, administrators, finance staff, and external partners. Ability to analyze financial and programmatic information and identify compliance risks. Ability to maintain confidentiality and handle sensitive information appropriately. Ability to learn and apply new sponsor, federal, and institutional policies and systems. Ability to train and guide faculty and staff on grants‑related processes. Additional Information Travel is required. Night, weekend, and after‑hour work may be required during peak season.
