Location 210 Route 303, Valley Cottage, NY, 10989-2035, United States Base Pay $65,000.00 / Year Job Category Human Resources, Non Profit, Healthcare HR Operations Specialist Department: Human Resources Reports To: Human Resources Manager Hours: 8:30am to 5:00pm POSITION SUMMARY The HR Operations Specialist plays a key role in the HRIS transition and ongoing management, with daily responsibility for candidate and employee data. In collaboration with the Talent Acquisition Specialist and Human Resources Manager, this role supports recruiting efforts and ensures a smooth transition from applicant to employee within the HRIS. POSITION QUALIFICATIONS Minimum Education: Bachelor’s degree in Human Resources, Business, or related field preferred; five years of Human Resources related experience may be accepted in lieu of Bachelor’s degree. Minimum Experience: Minimum of two (2) years of recruiting or Human Resources experience required. Experience with ATS and HRIS systems required; UKG preferred. Proficiency in Microsoft Excel and Word is required. High level of professionalism and confidentiality. Strong communication and organizational skills. Ability to manage multiple tasks and prioritize effectively. ESSENTIAL FUNCTIONS Responsible for maintaining employee data integrity and documentation in HRIS for all human resources related functions. Assists with the processing of applications in the Recruitment and Human Resources HRIS modules. Manages job descriptions and titles, including adding and editing jobs in HRIS. Enters new hire data in HRIS and ensures accuracy upon hire. Oversees completion of I-9s and submits in E-Verify. Resolves all open cases in a timely manner. Manages retention and employee referral payments and submits to payroll upon approval. Maintains employment re-verifications and communicates directly with employees and program management. Responsible for HR record management, including I-9 and medical records. Facilitates end of employment processes, including documentation and communication. Responds to employee inquiries in a timely manner. Responds to HR department audit requests. Processes HR department purchase orders and partners with finance to ensure all requirements are met. Assists recruiting with onboarding, managing clearances, and new hire documentation. Partners with the training team to ensure HRIS and other system’s training materials are accessible to new and current supervisors. ADDITIONAL RESPONSIBILITIES Provide additional support for conducting reference and criminal background checks, including all screening for regulatory agencies: Justice Center, OPWDD, OMIG, OCFS, etc. Performs other duties as directed.
