Billing ManagerLocation: Hackensack, NJ (Hybrid)Position Summary: We are seeking an experienced Billing Manager to oversee the firm's end-to-end legal billing operations. This role is responsible for ensuring the timely, accurate, and compliant preparation of client invoices while delivering exceptional service to attorneys, clients, and internal stakeholders. The Billing Manager will lead billing operations across multiple practice groups, drive process improvements, ensure compliance with client billing guidelines, and support the firm's overall revenue cycle management objectives. The ideal candidate will have extensive law firm billing experience, strong leadership skills, deep knowledge of legal e-billing systems, and experience working in a fast-paced AmLaw or large law firm environment.Key ResponsibilitiesManage the preparation, review, and distribution of client invoices across multiple practice groups.Ensure compliance with outside counsel guidelines (OCGs), client billing requirements, and matter budgets.Oversee monthly, quarterly, and ad hoc billing cycles to ensure timely invoice delivery.Handle complex billing arrangements including:Alternative Fee Arrangements (AFAs)Contingency billingBlended ratesFee capsMonitor Work in Progress (WIP) and Accounts Receivable (AR) in collaboration with Finance to support revenue realization.Team LeadershipLead, mentor, and develop a team of Billing Coordinators and Billing Specialists.Allocate workloads and manage team performance.Provide coaching on billing procedures, system usage, and client compliance requirements.Attorney & Client SupportServe as the primary billing contact for attorneys, partners, and legal assistants.Resolve billing inquiries and support client audits.Build strong relationships with internal and external stakeholders.Systems & Process ImprovementManage and optimize the firm's legal billing platform (Elite 3E).Oversee electronic billing submissions through various e-billing portals.Identify opportunities to automate and streamline billing processes.Partner with Finance and IT on billing system upgrades and implementations.Compliance & ControlsEnsure billing practices comply with firm policies and client billing guidelines.Maintain audit-ready documentation and participate in internal and external audits.Reduce invoice rejections and write-offs through proactive compliance monitoring.Reporting & AnalyticsPrepare and analyze reports including:WIPAccounts ReceivableRealization ratesBilled and unbilled revenueBilling trendsIdentify revenue leakage and recommend process improvements to leadership.Required Qualifications Experience10+ years of legal billing experience within a law firm.3+ years of experience managing or supervising billing teams.Experience in an AmLaw 200 or large law firm environment strongly preferred.Technical SkillsExperience with legal billing systems such as:Elite 3E (preferred)AderantElite EnterpriseExperience with e-billing platforms including:Legal TrackerCounselLinkSerengetiTymetrixEBHAdvanced Microsoft Excel skills, including Pivot Tables, VLOOKUP/XLOOKUP, and data analysis.Strong understanding of legal billing, revenue cycle management, WIP, AR, and financial reporting.
