Legal Intake Specialist

Andrews & Higgins is seeking a professional, personable, and highly organized Legal Intake Specialist to serve as the first point of contact for prospective clients of our law firm. The Intake Specialist will handle incoming inquiries, conduct preliminary client interviews, gather and document case information, assess potential matters according to established firm criteria, and coordinate consultations with attorneys. The ideal candidate will have excellent communication and customer service skills, strong attention to detail, and the ability to interact compassionately and professionally with individuals who may be experiencing difficult or traumatic circumstances. This position is an important part of the firm's client development process and requires someone who can build trust quickly and ensure that prospective clients receive a professional and positive first impression of the firm. Essential Duties and Responsibilities Serve as the initial point of contact for prospective clients by telephone, email, and other communication channels. Respond promptly and professionally to new inquiries. Conduct thorough initial intake interviews to obtain relevant information regarding the prospective client's circumstances and potential legal matter. Ask appropriate questions to identify key facts, dates, parties, injuries, damages, and other information relevant to determining whether a matter meets the firm's intake criteria. Accurately enter and maintain prospective client information in the firm's case management/CRM system. Review submitted documents and information for completeness and identify missing information. Follow up with prospective clients as directed to obtain additional information or documentation. Maintain timely and organized records of all communications and intake activity. Maintain confidentiality of prospective client information and comply with firm policies regarding confidential and privileged information. Provide a professional, empathetic, and reassuring experience to prospective clients throughout the intake process. Handle sensitive and emotionally difficult conversations with patience, discretion, and professionalism. Meet established response-time, follow-up, and intake performance standards. Assist with other administrative and client-service duties as assigned. Qualifications 2+ years of experience in a law firm, legal intake, client services, sales, customer service, or a related field preferred. Prior experience with sexual abuse, personal injury, mass tort, or other plaintiff-side litigation is strongly preferred. Excellent verbal and written communication skills. Strong telephone presence and professional communication style. Exceptional listening and interviewing skills. Ability to establish rapport and build trust with prospective clients quickly, including minors. Strong organizational skills and attention to detail. Ability to manage multiple inquiries and priorities in a fast-paced environment. Comfortable working with case management systems, CRM software, Microsoft Office, and other computer applications. Ability to accurately enter and maintain a high volume of information. Strong judgment and ability to follow established intake and case-screening procedures. Ability to handle confidential and sensitive information appropriately. Bilingual English/Spanish skills are a plus. Compensation: $27.00-32.00/Hour DOE This job requires U.S. worker authorization.
