- Location: 3800 San Pedro Ave, San Antonio, TX 78212
- Position: Full-Time, In-Person Dispatcher
- Coordinate daily dispatch operations for residential HVAC service technicians and plumbers, assigning service calls based on location, availability, technician skills, and job priority.
- Manage technician schedules and make real-time adjustments for emergency service calls, cancellations, delays, and last-minute appointments.
- Answer inbound customer calls, schedule HVAC and plumbing service appointments, and deliver professional, responsive customer service.
- Communicate work orders, customer details, appointment changes, and scheduling updates to field service technicians.
- Keep homeowners informed about technician arrival windows, service delays, and appointment changes.
- Make outbound calls to confirm appointments, schedule preventive maintenance visits, and follow up on customer service needs.
- Use dispatching and field service management software to maintain accurate schedules, customer records, and service histories.
- Coordinate with warehouse staff, vendors, and technicians to help ensure the right parts and equipment are available for scheduled jobs.
- Review service invoices and job details for accuracy while assisting with outstanding customer balances.
- Handle scheduling conflicts, urgent service requests, and customer concerns with professionalism and urgency.
- Identify opportunities to improve dispatch efficiency, technician productivity, route coordination, and customer satisfaction.
- Participate in a rotating on-call schedule that includes evenings, weekends, and holidays.
- High school diploma or GED required.
- At least 1 year of contact center, customer service coordination, or related experience in a service-based environment.
- 2+ years of dispatching experience preferred, ideally in residential HVAC, plumbing, or another home services industry.
- Experience using ServiceTitan dispatching or field service management software strongly preferred, ideally 1+ year.
- Ability to type accurately at 40 to 45 words per minute.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Strong organizational and multitasking skills with the ability to manage multiple service calls, technician schedules, and customer requests simultaneously.
- Ability to prioritize emergency service calls, adjust dispatch schedules quickly, and make sound decisions in a fast-paced environment.
- Excellent verbal and written communication skills for coordinating with customers, technicians, and internal teams.
- Strong attention to detail when managing work orders, appointment information, service invoices, and customer records.
- Ability to remain calm, professional, and solution-focused when handling scheduling conflicts or customer concerns.
- Familiarity with San Antonio and surrounding service areas is a plus.
- Ability to work independently while collaborating effectively with customer service representatives, technicians, warehouse personnel, and management.
- Willingness to participate in a rotating on-call schedule, including evenings, weekends, and holidays.
- Ability to work on-site at the San Antonio, TX office.
