Assistant Director of Facilitiesand Operations

Job Summary Assistant Director of Facilities and Operations is a full‑time, 12‑month position responsible for the daily operations and facilities management of a residence hall community of 740 residents, a graduate/family housing complex of 120 units, and a sorority‑life housing community of 16 bedrooms. The role manages housing operations logistics, coordinates with campus facilities, maintenance and custodial providers, oversees renovation projects, and promotes a safe, clean, and welcoming residential environment that supports student success. Additional duties include staff supervision and development, administration, summer conference operations, and other departmental responsibilities. Facilities Management Serve as the primary liaison between Residential Life and Facility Services and external vendors and contractors to maintain and repair university‑owned residential communities. Oversee day‑to‑day management of regular maintenance, repairs, custodial services, and capital improvement projects. Coordinate facility‑related logistics for openings, move‑ins, check‑ins, and check‑outs. Coordinate emergency response for facilities issues, including floods, fire alarms, HVAC outages, and other crises. Maintain building key control systems, lock changes, and access permissions. Ensure facilities meet fire and life safety codes and accommodate students with special needs. Inspect buildings and grounds through regular walking tours to assess repairs, cleanliness, and compliance. Facilitate weekly evaluation of custodial performance within assigned residential areas. Assist in coordinating construction, renovations, and repairs with architects, engineers, construction managers, and contractors. Housing Operations Keep residents informed of facility‑related policies, service changes, and repairs requiring additional time. Work closely with the Accounting Specialist to maintain accurate student accounts and housing software, including room assignments, housing charges, and damage charges. Supervise processes related to room turnovers, summer conferences, early arrivals, and break housing. Develop and manage schedules for preventive maintenance, cleaning, pest control, and furniture inventory. Manage vendor relationships for services such as laundry, furniture, card access parts, and other related services. Maintain accurate records of facility‑related expenditures, work orders, and service contracts. Participate in an on‑call professional staff rotation, responding to residential and facility concerns during evenings, weekends, and emergencies. Staffing Leadership Directly supervise multiple graduate and undergraduate student employees and the Accounting Specialist role. Develop, disseminate, and review all materials and manuals related to departmental paraprofessional positions, including customer service and safety expectations. Provide ongoing training through staff development activities and daily supervision. Conduct regular staff meetings and provide ongoing evaluations of staff performance. Create a quality working environment through teamwork, attention to detail, and strong work ethic. Oversee coordination of work schedules for student workforce and oversee payroll processes. Oversee the operational functions of all residential community front desks. Administration & Compliance Schedule and direct fire drills and safety exercises on a semester basis. Assist in the development and management of budgets related to facilities and operations. Ensure compliance with ADA, OSHA, Fire Marshal, and other local, state, and federal regulations. Participate in strategic planning, policy development, and assessment initiatives. Other Additional duties as assigned. Qualifications and Experience Required: Bachelor’s degree from an accredited university and at least one year of professional facility management or related experience, or in lieu of a degree a minimum of five years of such experience. Required: Valid driver’s license and ability to occasionally lift and carry 25+ pounds. Desired: Master’s degree from an accredited university. Desired: 3–5 years of progressive experience in a full‑time related role. Desired: Familiarity with work order systems (SchoolDude, TMA) and housing software (Adirondack: The Housing Director, StarRez, etc.). Desired: Knowledge of building systems such as HVAC, plumbing, electrical, and custodial operations. Salary range: up to $55,000, commensurate with experience and qualifications.
