Administrative Clerk I

The City of La Verne is seeking a motivated and detail-oriented Administrative Clerk I to join our teaman excellent entry-level opportunity to start a rewarding career in public service while gaining hands-on training and experience.

Administrative Clerk I is the entry level class in the Administrative Clerk series. Employees in this class normally work under close and continuous supervision performing a wide group of closely related duties according to established procedures. While a variety of tasks may be assigned, each usually fits a familiar pattern and changes in procedure or exception to rules are explained in detail as they arise. Under this training concept, positions assigned to the class of Administrative Clerk II which become vacant may reasonably be filled at the Administrative Clerk I level.

General supervision is provided by the department head or his/her designee. Responsibilities may include direct or indirect supervision of subordinate clerical positions.

This position also provides administrative support to the department overseeing Administration and Environmental Services, requiring consistency in documentation accuracy, compliance tracking, and process-driven workflows. Ideal Candidate: The ideal candidate is a detail-oriented administrative professional who is comfortable working in a process-driven environment where accuracy, documentation, and compliance are essential. This role requires communicating professionally with City staff, residents, vendors, and outside agencies; adapts well to shifting priorities; and is proficient with modern office software such as Microsoft Office and Teams as well as:

  • Strong organizational skills.
  • Dependable follow-through.
  • Ability to manage data, records, and environmental tracking.
  • Customer service tasks.
Examples of Duties

Depending upon assignment, duties may include, but are not limited to, the following:

  • Type and proofread a variety of documents including reports, memos, and statistical charts from oral direction, rough draft, forms, copy, notes, or transcribing machine recordings.
  • Perform a wide variety of routine clerical work including filing and checking and recording information on records.
  • Compile information and data for statistical and financial reports.
  • Maintain a variety of statistical records, check and tabulate statistical data, prepare simple statistical reports.
  • Perform recordkeeping for various funds and expenditures.
  • Maintain personnel and payroll records of departmental personnel, process a variety of forms to initiate changes in records.
  • Maintain inventory records, process purchase requisitions, maintain purchase records, resolve errors in orders received and invoices.
  • Operate adding machine and other office appliances.
  • Order office supplies, submit expense claims.
  • Act as receptionist; answer the telephone or centralized switchboard and assist the general public, giving information on department policies and procedures as required, and general City information.
  • Sort and file documents and records, maintaining alphabetical, index, and cross reference files.
  • Receive, sort, and distribute incoming and outgoing correspondence.
  • Schedule appointments and various meetings.
  • Issue, receive, type, and process various applications, permits, and other forms.
  • May receive incoming telephone and voice radio calls, secure and record information and use radio to dispatch necessary City services; keep radio contact with City units.
  • Perform related duties as assigned.

  • English usage, spelling, grammar, and punctuation.
  • Office methods and equipment.

Ability to:

  • Type from clear copy at a speed necessary for adequate job performance.
  • Perform routine clerical work.
  • Learn office methods, rules, and policies.
  • Understand and carry out oral and written directions.

Experience and Education

Any combination equivalent to experience and education that could likely provide the required knowledge and abilities would be qualifying. A typical way to obtain the knowledge and abilities would be:

Education Equivalent to the completion of the twelfth grade.

THE CITY

The City of La Verne strives to maintain a full range of efficient municipal services to preserve our hometown charm and quality of life while being responsive to the community's current and emerging needs. La Verne is a city of more than 30,000 residents and a well-balanced community with a good mix of residential, commercial, and industrial features. La Verne maintains a council-manager form of government. Residents in five districts elect their district council member to represent them and oversee a total annual budget of over $71 million. The five council members select a mayor amongst themselves. La Verne is a close-knit community that is home to many fine institutions and facilities which include the University of La Verne (founded in 1891), Brackett Field Airport, and public and private schools. As one of the most desirable communities in metropolitan Southern California, La Verne is a progressive city that has retained much of its small town charm.

SELECTION PROCESS

The City reserves the right to select applicants for further consideration who demonstrate the best qualifications match for the position. Meeting the required minimum qualifications does not guarantee an applicant an invitation to the next step(s) in the selection process. Those candidates whose experience and training most closely match the City's needs may be invited to participate in the selection process, which may include a combination of written exercise, panel interview, or other testing deemed appropriate.

Prior to hire, successful candidates will also be required to undergo a medical examination (including drug screen), and credit and criminal reviews. Appointments are subject to a 12-month probationary period.
