Project Manager

Crespo Design Group is seeking an experienced Project Manager to lead the implementation and coordination of our luxury residential projects. Experience in the interior design or construction industry is preferred. Salary Range $60,000.00-$70,000.00

The Project Manager is the operational quarterback of the project.

Working closely with the Principal Designer and design team, this position owns the project schedule, coordination, communication, documentation, action items, and follow-through required to move a project successfully from design development through installation and completion.

You are highly organized and proactive. You anticipate what is coming next, communicate before something becomes urgent, and are comfortable coordinating many moving parts without losing sight of the larger project.

You understand that exceptional project management is not about reacting quickly to problems. It is about creating enough visibility, structure, and communication that many problems are prevented in the first place.

Core Areas of Ownership

Project Planning & Implementation

• Own and maintain the master implementation schedule for assigned projects.
• Translate project milestones into clear deadlines, priorities, and action items.
• Coordinate project activity from design development through construction, installation, and completion.
• Monitor project progress and identify potential schedule conflicts or delays early.
• Maintain visibility into outstanding decisions, approvals, deliverables, and dependencies.
• Establish clear next steps following project meetings and ensure action items are completed.
• Keep the Principal Designer and design team informed of priorities and approaching deadlines.
• Anticipate what information or decisions will be required to keep projects moving.
• Maintain organized and current project documentation.

Contractor, Architect & Trade Coordination

• Serve as a key coordination point between Crespo Design Group and contractors, architects, consultants, trades, installers, and other project partners.
• Coordinate site meetings and project-related meetings.
• Prepare agendas, document decisions, and distribute clear action items.
• Track information and deliverables required from outside project partners.
• Coordinate requests for information with the appropriate design team member.
• Confirm that current design information reaches the appropriate project partners.
• Identify conflicts between design documentation, field conditions, schedules, and implementation requirements.
• Bring issues to the appropriate team member promptly and help facilitate resolution.
• Maintain professional, productive relationships with project partners.

Design Team Coordination

The Project Manager does not own the creative design. The Project Manager creates the operational structure that allows the design team to deliver it successfully.

Responsibilities include:

• Coordinate design deadlines with the Senior Interior Designer and design team.
• Maintain visibility into outstanding design decisions and deliverables affecting the project schedule.
• Communicate upcoming project requirements before they become urgent.
• Ensure approved design information moves to the appropriate parties.
• Coordinate site access, meetings, field reviews, and implementation requirements with the design team.
• Track revisions and decisions that affect project implementation.
• Help maintain clear handoffs between Design, Project Management, and Procurement.

Client Communication

• Support a polished, organized, and responsive client experience throughout project implementation.
• Coordinate project-related client meetings and communications as appropriate.
• Provide clear updates regarding project progress, schedules, milestones, and next steps.
• Document client decisions and ensure information reaches the appropriate team members.
• Anticipate questions and communicate proactively.
• Maintain discretion and professionalism in all client interactions.
• Escalate design decisions and relationship-sensitive matters to the Principal Designer or appropriate design team member.

Luxury service is not constant communication. It is thoughtful communication delivered at the right time, with the right information.

Site & Installation Coordination

• Coordinate site meetings, field reviews, and installation schedules.
• Maintain visibility into construction and project milestones affecting design implementation.
• Document site conditions, decisions, and action items.
• Coordinate access and scheduling with contractors, trades, vendors, installers, and the design team.
• Help identify field conditions that may affect project schedules or design implementation.
• Coordinate with Procurement regarding product delivery and installation readiness.
• Develop and maintain installation schedules and related logistics in collaboration with Procurement and Design.
• Participate actively in installations and project completion.
• Maintain outstanding-items and completion lists through resolution.

Project Manager and Procurement Manager

The Project Manager owns the project timeline and implementation.

The Project Manager coordinates with Procurement regarding lead times, delivery requirements, receiving status, and installation readiness, but does not own routine purchase-order processing, order tracking, freight coordination, receiving administration, or claims.

Both roles communicate closely because procurement activity can affect the project schedule.

Clear ownership allows both positions to remain accountable.

What You Bring

• Demonstrated project management experience; experience within luxury residential interior design, architecture, construction, or a closely related field is strongly preferred.
• Strong understanding of the phases and moving parts involved in residential renovation and new construction.
• Experience coordinating contractors, architects, consultants, trades, vendors, and clients.
• Exceptional scheduling, prioritization, and follow-through.
• Strong written and verbal communication.
• Ability to interpret project drawings and design documentation.
• Confidence managing multiple projects and competing priorities.
• Strong meeting management and documentation skills.
• Comfort with project management technology and the ability to master Crespo Design Group's systems.
• Experience supporting high-touch clientele is highly valued.
