IT Contract Management Specialist

Position Overview

We are seeking an IT Contract Management Specialist to coordinate technology labor and services contracts throughout their lifecycle. This role manages new requests, amendments, renewals, extensions, purchase orders, and related financial activities.

Working with technology leaders, sourcing teams, and vendors, you will ensure requests are complete, deadlines are tracked, and outstanding actions move forward. Approximately 75% of the position focuses on contract management, with the remaining time supporting technology portfolio operations and financial tracking.

Key Responsibilities

• Coordinate new contract requests, changes, renewals, and extensions.
• Track expiration dates and initiate renewal discussions well before deadlines.
• Work with technology leaders to clarify contract requirements, scope changes, timelines, and business needs.
• Review submissions for completeness before routing them through sourcing and procurement.
• Manage multiple contracts and follow-up activities at different stages of completion.
• Support managed services, fixed-price, and time-and-materials agreements for IT labor and services.
• Coordinate with sourcing teams, vendors, and internal stakeholders throughout the contracting process.
• Create purchase orders in the procurement system and assist with purchasing and invoicing activities.
• Support operating budget tracking and related financial processes.
• Maintain accurate contract records, status updates, and supporting documentation.
• Identify upcoming needs and proactively follow up on outstanding information or approvals.
• Support annual renewal planning to improve visibility and reduce delays.
• Communicate contract status, risks, deadlines, and required actions clearly.
• Assist with additional technology portfolio operations activities as needed.

Required Qualifications

• Three to five years of contract management experience, preferably involving IT labor, services, or technology agreements.
• Understanding of managed services, fixed-price, and time-and-materials contracting models.
• Experience handling multiple contracts, renewals, deadlines, and stakeholder requests simultaneously.
• Strong organizational skills, attention to detail, and follow-through.
• Strong written and verbal communication skills.
• Ability to collaborate effectively with technology leaders, sourcing teams, and vendors.
• Strong Excel skills and comfort working with budgets, financial data, and contract information.
• Ability to anticipate needs, initiate follow-up, and work proactively with general supervision.

Preferred Qualifications

• Experience using ServiceNow for workflow or contract tracking.
• Experience with Coupa or a comparable procurement platform.
• Familiarity with purchase orders, invoicing, budgeting, and related financial processes.
