Event Manager

Cheyney University of Pennsylvania

Position Overview The Events Manager is responsible for the planning and coordination of campus venue rentals, as well as the oversight and execution of all events, conferences, concerts, festivals, ceremonies, etc., on the campus of Cheyney University. This includes managing the services of all outside vendors and professionals, and maintaining and managing all events utilizing the University’s events management system (Coursedog). Responsibilities Plans, organizes, and manages all facets of campus event planning and ancillary operations. Develops and implements efficient work policies, methods, and procedures for all events, conferences, concerts, festivals, etc., on campus and makes adjustments when appropriate. Creates and maintains an engaging customer service culture, focused on inviting and exceptional customer experience. Prepares the annual budget of assigned operational areas and reviews and controls expenditures of funds. Answers routine inquiries regarding space usage; investigates non-routine customer complaints and takes appropriate action. Interfaces and maintains effective working relationships with members of the public and campus divisions. Plans and coordinates effective marketing activities for venue rental opportunities for the general public and revenue generation. Knowledge and/or willingness to learn system automation management (Coursedog) to effectively manage scheduling. Communicates, supports, and develops a long-lasting relationship with clients. Manages all project elements within designated timeframes and projected budget. Manages venue booking and negotiation of amounts to be paid. Responsible for negotiating internal/external contracts. Provides clear, well‑written periodic reports to stakeholders. Articulates proposed ideas to improve services and event quality. Engages in exceptional communication to liaise with clients, identify their needs, and ensure customer satisfaction. Manages all event details such as decor, catering, entertainment, transportation, location, invite list, special guests, equipment, promotional material, etc. Ensures knowledge and compliance with all insurance, legal, health and safety obligations. Works collaboratively with marketing and public relations departments to successfully promote and publicize events. Proactively handles and troubleshoots any issues or problems on event day. Conducts and follows through with pre‑and post‑event evaluations, reporting outcomes. Researches and identifies event opportunities, understands the market, and generates interest. Assists with day‑to‑day operations of events and the services provided by outsourced vendors. Assists with the Quality Assurance and Inspections portions of the contracts. Assists with communication to various departments regarding status of work orders or other service requests and projects. Coordinates with the Office of Financial Aid to organize and maintain a student work‑study pool to assist with day‑to‑day set‑ups, moves, etc. Other duties as assigned. Requirements Associate’s Degree or equivalent work experience required (bachelor’s degree preferred). Computer experience including demonstrated proficiency with Google Workspace, MS Office, and database applications. Experience with events management software preferred. Strong communication and interpersonal skills. Minimum 1‑year relevant professional experience, with the ability to work independently, manage multiple priorities in a fast‑paced environment, and efficiently collaborate with others in a team environment. Must be able to manage, prioritize, and complete assignments and exercise discretion on confidential matters, as needed. Active commitment to diversity, equity, inclusion, and belonging.
