Property AdministratorThe Property Administrator plays a crucial role in the Property Management Team, ensuring a high level of professionalism in addressing property issues and responding promptly to tenant requests. This position does not require travel and reports to the Assistant Property Manager or above.ResponsibilitiesProvide comprehensive administrative support, including phone support, typing reports, filing, and distributing correspondence.Schedule and coordinate meetings or special events as requested.Assist with lease administration activities such as tenant contacts and insurance information, and generate relevant reports.Prepare and coordinate bid proposals, service contracts, and approved invoices.Support the bidding process and ensure compliance with company policies and procedures.Prepare and code invoices for Property Manager's approval.Ensure office is stocked with necessary supplies and items.Manage contract and insurance information accurately within contract administration software.Track and file contracts and certificates of insurance, maintaining a follow-up system for expirations.Monitor and maintain the property maintenance work order system, preparing monthly reports for Property Manager.Maintain the property purchase order system.Maintain lease and contract files in the property management office.Promote positive relationships with tenants and clients, tracking service calls as required.Assist with monthly and quarterly management reports and annual budget preparation.Process management and maintenance staff hours, tenant bill back invoices, accounting expense reports, monthly meter readings, and check requests for review and approval.Essential SkillsExcellent communication proficiency, both oral and written.Strong customer focus, both internal and external.Superior organizational skills.Excellent interpersonal skills.Ability to take initiative and multi-task effectively.Proficiency in Microsoft Office Suite.Additional Skills & QualificationsHigh school diploma/GED equivalent, Bachelor Degree preferred.Previous customer service experience preferred.Experience in property management and property administration.Ability to interface with decision makers professionally and maintain confidentiality.Work EnvironmentThis role operates in a professional office environment located in Miami, Florida, at 9100 S Dadeland Blvd. The position requires working from Monday to Friday in-office, utilizing standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. Employees are expected to remain in a stationary position for 85% of the time, communicate effectively, and operate office productivity machinery.
