Ellie Mental Health is seeking a professional, personable, and highly self-directed Community Referral Outreach Coordinator to manage an assigned portfolio of healthcare and community referral sources throughout the Ann Arbor area through recurring in-person visits, relationship development, and consistent follow-up.  This is not a social media, event planning, or office-based marketing position. The right person should enjoy being out in the community, walking into professional offices, meeting new people, and developing relationships over time. 

Who You Will Be Visiting

Our referral network includes organizations that regularly interact with individuals and families who may benefit from outpatient mental health services, including:

• Primary care and family medicine practices 
• Pediatric offices 
• Specialty medical practices 
• Health system clinics and departments 
• Behavioral health and counseling organizations 
• Psychologists, psychiatrists, and other mental health professionals 
• Schools, colleges, and educational organizations 
• Community and nonprofit organizations 
• Selected allied health and wellness providers 

The objective is to move beyond simply delivering materials and develop ongoing professional relationships so referral partners understand who Ellie Mental Health serves, how to refer individuals to us, and how we may be able to help when a mental health need arises.

Doctor Referral Institute Program

Ellie Mental Health partners with The Doctor Referral Institute (DRI) to provide the structure, training, coaching, and outreach methodology for this role. The coordinator will follow the outreach cadence and relationship-development process established through the DRI program. 

Key Responsibilities

• Actively manage and grow a portfolio of healthcare and community referral source relationships 
• Conduct recurring in-person visits to assigned referral sources according to the outreach cadence established through the DRI program 
• Develop professional relationships with physicians, medical office staff, school personnel, behavioral health professionals, community organizations, and other referral partners 
• Educate referral partners about Ellie Mental Health services, specialties, availability, and referral processes 
• Deliver approved Ellie Mental Health information and marketing materials 
• Learn each organization’s needs and referral process and maintain appropriate follow-up between visits 
• Document every outreach visit promptly and accurately in the DRI Salesforce CRM, including the person contacted when known, materials provided, relevant discussion, outcome, and appropriate follow-up 
• Maintain the CRM as the complete and current record of outreach activity so the status and history of each referral relationship can be clearly understood 
• Attend the required weekly Doctor Referral Institute coaching call 
• Participate in periodic check-ins with Ellie leadership regarding outreach activity, opportunities, and challenges 
• Plan geographically efficient field routes to minimize unnecessary mileage and maximize time with referral sources.  
• Complete follow-up calls, emails, CRM documentation, and related administrative work within the allotted weekly schedule 
• Represent Ellie Mental Health professionally and positively throughout the community 

What We Are Looking For

The right person is comfortable walking into professional offices, introducing themselves to people they do not already know, and building relationships over time. They must also be highly organized, disciplined about documentation and follow-up, and able to work independently within a structured outreach process.

Qualified candidates should have:

• Strong interpersonal and professional communication skills 
• Excellent organization and follow-through 
• Ability to independently manage a recurring portfolio of referral relationships 
• Comfort using a mobile CRM and other technology while working in the field 
• Reliable transportation for recurring in-person visits throughout the Ann Arbor area 
• Availability during normal weekday healthcare and business hours 
• Ability to attend the required weekly DRI coaching call 
• Ability to efficiently organize multiple community visits within a limited weekly schedule 

Prior experience in healthcare outreach, physician relations, behavioral health, medical sales, business development, community relations, marketing, referral development, or another relationship-based position is preferred.

Healthcare or behavioral health experience is helpful but is not required for the right candidate with strong relationship building, communication, organization, and follow-through skills.

Schedule and Compensation

This is a part-time W2 position of approximately 10 to 12 hours per week .

Hours are flexible but will primarily occur during normal weekday business hours when healthcare offices, schools, and community organizations are open.

Compensation is $30 per hour.

Field visits should be organized efficiently and grouped geographically so working time can be focused on developing referral relationships rather than unnecessary time in transit.
