Bilingual Intake Specialist

Hart McLaughlin & Eldridge is seeking a Bilingual Intake Specialist to join our team in our Chicago office. As the first point of contact for prospective clients, this position plays a critical role in delivering a compassionate, professional, and welcoming experience while gathering and reviewing essential intake information. The ideal candidate will communicate effectively with both English-and Spanish-speaking prospective clients, ensuring accurate information collection, maintaining confidentiality, and helping attorneys evaluate potential cases. Responsibilities Include Inbound Intake & Case Evaluation: Answer inbound calls, texts, and inquiries from prospective clients, seamlessly shifting between English and Spanish. Conduct initial intake interviews, gather relevant case information, and evaluate inquiries to see if they align with the firm's focus and criteria. Client Advocacy: Serve as the compassionate, bilingual first point of contact for prospective and existing clients, ensuring everyone who calls or visits is treated with empathy, respect, and strict confidentiality. Outbound Communication & Lead Follow-up: Make outgoing calls, emails, and texts in both languages to prospective clients who reach out to the firm. Consistently follow up with leads and potential clients after their appointments or consultations, ensuring no language barriers exist. Scheduling & Calendar Management: Assist with scheduling consultations and appointments in the client's preferred language when necessary, confirming future appointments, and maintaining calendars for attorneys and paralegals across the firm. Administrative & Case Support: Schedule appointments, manage client files, and update HME document management systems to ensure high-quality client service throughout the lifecycle of a case. Firm-wide Collaboration: Route calls for current clients, work closely with attorneys and paralegals to bridge communication gaps, and interact professionally with all personnel and practice areas of the firm. Qualifications Native or professional fluency in both English and Spanish required Experience in a client-facing role, preferably in law, healthcare, behavioral health, or social services. 1–2 years of experience with client intake (preferred). 1–2 years of legal assistant or relevant law firm experience (preferred). Knowledge of HIPAA compliance and best practices for handling confidential information (preferred). Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Calendar) Excellent verbal and written communication, interpersonal, and client service skills, with the ability to work effectively both independently and as part of a team. Strong organizational, multitasking, and time management skills, with exceptional attention to detail, proofreading accuracy, and consistent follow-through. High level of professionalism, compassion, integrity, and discretion when handling confidential information.
