Duration: 8 months
Schedule: Monday-Friday, 8:30 AM-5:00 PM (40 hours/week)
Work Arrangement: Fully onsite - 5 days per week, no remote work
Pay Rate: $25-$26/hour

About the Opportunity

Our client is seeking a Sales Admin Temp to join their team in East Hanover, NJ. This role provides critical administrative and coordination support to an account team while offering the opportunity to gain valuable experience in a fast-paced, creative industry.

The ideal candidate is highly organized, resourceful, dependable, and comfortable managing multiple priorities. You will work closely with internal teams and global account contacts, helping coordinate projects, samples, client requests, communications, and administrative activities from start to finish.

Key Responsibilities

Sales & Business Support

• Administer creative briefings and sample requests from initiation through completion and preparation for submission.
• Manage materials and samples for client presentations.
• Assist with client presentation collateral and display materials.
• Coordinate logistics and help ensure a positive client experience during visits.
• Serve as a liaison between clients and internal personnel as needed.

Communication & Coordination

• Respond professionally and promptly to internal and external inquiries.
• Research, investigate, and follow up on requests using creative problem-solving skills.
• Provide the business team with timely updates regarding client requests, insights, and communications.
• Coordinate schedules and communications across teams.
• Attend team meetings and assist with workflow reviews as needed.

Administrative Support

• Coordinate with Customer Service, Purchasing, Operations, Distribution, Planning, Labs, Quality Control, and other departments.
• Provide backup and administrative support to the larger L&R team.
• Update projects and maintain supporting documentation, including price quotations, fragrance descriptions, and customer-specific materials.
• Maintain and update product databases and track packaging arrivals.
• Prepare samples for shipment and ensure all required supporting documentation is included.
• Maintain shipment tracking information.
• Enter and support creative briefs.
• Create New Business Order documentation to help ensure a smooth transition of new business wins into production.
• Take on additional administrative responsibilities based on business needs.

What We're Looking For

• Bachelor's degree preferred.
• At least 2 years of administrative experience preferred.
• Experience with Givaudan systems is a plus.
• Excellent administrative, organizational, and computer skills.
• Strong proficiency with Microsoft Office Suite and company platforms.
• Highly organized with excellent attention to detail.
• Resourceful, reliable, independent, and innovative.
• Able to manage multiple priorities and see tasks and projects through to completion.
• Strong communication and interpersonal skills.
• Demonstrated ability to build and maintain strong professional relationships.
• Comfortable working in a fast-paced, collaborative, and creative environment.
