Private Events Manager

The minimum starting salary for this position is $44,200.

Job Purpose:

The Private Event Managers promote, manage, and sell venue space at the Fort Worth Botanic Garden (FWBG) to clients seeking a unique venue for meetings, events, and public exhibitions. The Private Events Manager will work closely with clients from the initial inquiry through to event execution, ensuring high customer satisfaction and successful event outcomes. This position is responsible for facilitating the booking process, providing exceptional customer service, ensuring the smooth operation of events, and maximizing the usage of the Garden's venue space to generate revenue in support of FWBG's mission.

Key Responsibilities:

Accountability

1. Maintaining client files, contract details, and event plans.
2. Performing client tours, negotiating event contracts, and securing payments.
3. Assisting with event logistics, including vendor coordination and setup.
4. Ensuring excellent service delivery and customer satisfaction for both internal and external clients.
5. Performing strategic planning and executing objectives to meet annual sales targets.

People Management/Interactions

1. Managing communication with clients, event planners, and third-party vendors.
2. Participating in the preparation and execution of public events hosted by FWBG.
3. Training volunteers and internal staff on event protocols and client interaction.
4. Facilitating internal event planning meetings and ensuring all details are executed as agreed.

Communication

1. Reporting to the Director of Private Events regarding event progress and challenges and annual sales targets.
2. Communicating effectively with clients to ensure needs are met before, during, and after events.
3. Collaborating with other teams to integrate sales goals into organizational strategy and development.

Competencies: Knowledge and Skills required:

• Experience with customer service and sales, particularly in event or venue management.
• Knowledge of event planning, vendor management, and contract negotiation.
• Familiarity with the operational characteristics of public event spaces.
• Proficiency using Microsoft Office Suite, particularly Excel, and event management software.
• Organized and efficient in managing multiple tasks and deadlines.
• Ability to analyze client needs and provide tailored solutions.
• Understanding of venue capacity, safety regulations, and event policies.
• Training in event logistics, customer relations, and marketing techniques.

Additional Job Requirements:

• Successfully pass a background and credit check due to the handling of financial transactions and confidential information.
• Maintain a current Texas Driver's License and auto-related liability insurance.
• Review and sign the department dress code policy.
• Every FWBG employee is expected to possess and be willing and able to use a mobile device for timekeeping and business communications via calls/texts/emails/Teams' messages.
• Be adaptable and flexible to changing schedules including occasional weekends and evenings.
• Ability to support and participate in outdoor FWBG public exhibitions and events in Texas weather.
