Focus We are seeking a Client Documentation & Transition Specialist to support institution conversions, client communications, repapering activities, and operational project initiatives within a financial services environment. Responsibilities Manage client communication mailings related to institution conversions, account transitions, repapering initiatives, and negative consent letter campaigns. Coordinate the creation and distribution of client mailing packages, including letters, inserts, data files, and supporting documentation. Obtain necessary approvals for mailing components and provide finalized materials to print vendors for production. Review and approve electronic and physical proofs to ensure accuracy before distribution. Track and assist with resolving undeliverable client communications when necessary. Complete and submit formal document requests supporting conversion and de-conversion projects. Partner with internal stakeholders to log, track, and manage work requests submitted to third‑party system vendors. Serve as the primary point of contact throughout the lifecycle of assigned vendor work requests. Facilitate review and approval of vendor estimates, project requirements, and deliverables. Coordinate testing activities associated with system updates, conversions, department initiatives, and regulatory projects. Work closely with internal teams and vendors to troubleshoot, escalate, and resolve issues impacting project deliverables. Maintain accurate project documentation, status tracking, approvals, and communication records. Support operational initiatives, regulatory requests, and special projects as assigned.
