LN Venues, Special Events Logistics Manager - Brooklyn Bowl Las Vegas

Job Summary Provides comprehensive administrative support to the Special Events Sales Department by managing operational tasks, basic accounting functions, and acting as a key liaison between Sales, Finance, Logistics, and clients to ensure seamless pre‑event preparation, event execution, accurate billing, and high‑level customer service. Responsibilities Vetting incoming leads from calls, emails, voicemails, and RFPs with initial information gathering. Maintaining and auditing departmental files. Reconciling post‑event paperwork, closing event files, and uploading relevant documents to event folders. Updating customer and sales data in CRM systems as requested. Generating and distributing SEO/Meeting Day Packets for venues; sending weekly update emails to Linq (client bus schedules, upcoming events). Preparing and distributing 6‑month and 14‑day reports weekly for venues. Acting as Site Visit Coordinator, coordinating branding needs, refreshments, and other client logistics. Assisting with content creation and organization (creative service requests, event gallery uploads). Participating in special projects such as contact lists, Open House preparation, client gifting, and pre‑conference invitations. Preparing event pull sheets, tray pass sheets, buffet tags, signage, and out‑of‑office clipboard materials. Assisting with load‑in, general event setup, staff pre‑shifts, and on‑floor operational support. Supporting event billing and accounting, including payment processing, monthly accrual spreadsheets, and vendor invoice submissions. Assisting with month‑end close processes. Auditing event folders to ensure all documents are in place and assisting with linen laundry, buffet décor organization, and storage. Providing general operational support as needed, including vendor coordination and tray pass circulation. Qualifications Not specified in the job description.
