Job Summary

The Assistant Director supports the design, delivery, and continuous improvement of center programs and events, including but not limited to the Healthcare Speaker Series, Booth Healthcare Fellowship Program, Healthcare Scholar-in-Residence, Healthcare Research Brown Bags, and alumni events. In this role, the Assistant Director partners with other departments, supports cross-campus collaborations, sustains alumni and external stakeholder connections, and advances the Tolan Center’s strategic priorities. In addition to day-to-day management of a portfolio of programs, as a member of a small, high-impact team, the Assistant Director will provide logistical support as needed for other center initiatives. This is a hybrid position, based on the Hyde Park campus with occasional travel to the Gleacher Center and off-campus events.

Responsibilities

• Manages a suite of healthcare programs from inception to completion.
• Creates, schedules and publishes digital and social media content, such as website content, email newsletter, email campaigns, LinkedIn and Chicago Booth Connect posts, etc., to promote awareness of center programming and enhance perception of Booth as a destination for healthcare research and education.
• Manages financial, operational, and logistical details for events, including coordination of guest speakers, registration, venue and catering, travel and hotels, marketing, and onsite/virtual staffing.
• Supports the Booth Healthcare Fellowship Program, assisting with selection process and contributing to events and resources that meet unique needs of the fellowship cohort.
• Liaise and engages regularly with healthcare-interested student groups, to assist in planning and delivering related student programming.
• As appropriate, liaise with relevant offices and departments (Alumni Relations and Development, Career Services, Admissions, etc.) to identify collaboration opportunities, develop partnerships, market programs and events, support philanthropic efforts, and manage communication with constituents.
• Processes travel reimbursements, supplier/vendor payments, contract requests, and related activities. Assists with tracking expenses, maintaining budgets, and updating financial systems/processes.
• Utilizes data to inform decision-making related to program execution and development, including development and delivery of program evaluation surveys and metrics.
• Under the guidance of the Director, identifies areas of need and contributes to the refinement and evolution of existing and innovative, new programming initiatives, in accordance with Tolan Center for Healthcare goals.
• Actively attends and represents Tolan Center at meetings and events.
• Uses general understanding and experience to administer the delivery of services to program participants and/or beneficiaries.
• Plans and conducts quality assurance reviews and recommends changes as appropriate.
• Performs other related work as needed.

Minimum Qualifications

Education:

Minimum requirements include a college or university degree in related field.

Work Experience:

Minimum requirements include knowledge and skills developed through < 2 years of work experience in a related job discipline.

Education:

• Bachelor’s degree.

Experience:

• Background in program or project management, events, and/or business administration.
• Advising or mentoring students and managing student-facing programs.
• Demonstrated experience and interest in healthcare.

Technical Skills or Knowledge:

• Proficiency in Microsoft Office and Outlook.
• Learn and gain comfort with new software and AI-enabled workflows.

Working Conditions

• This position is currently expected to work a minimum three days per week in the office.
• Flexibility to travel locally and staff morning/evening/weekend events.
