Sales & Operations Coordinator
Steel Traditions | Vista, CA
Full-time | Monday–Friday | On-site
$24–$26 per hour, depending on experience

Steel Traditions manufactures custom steel windows and doors. We’re seeking an organized, proactive coordinator who communicates confidently, follows through on tasks, and enjoys working with customers, vendors, and manufacturing teams.

This position supports purchasing, estimating, project administration, and employee administration. Work is split between the office and shop floor. Required personal protective equipment (PPE) must be worn in designated areas. Training will be provided on our products, software, and procedures. Drafting and management provide technical verification and approvals.

Purchasing & Production Tracking

• Maintain production and ordering trackers with current status, deadlines, and outstanding items.
• Request quotes and place approved orders for steel, glass, hardware, paint, consumables, and shop supplies.
• Track vendor confirmations, delivery dates, materials and schedules.
• Coordinate purchasing needs across departments.
• Coordinate glass orders using drawings and dimensions provided by Drafting; measure units on the shop floor or at project sites when needed and obtain technical verification before ordering.
• Follow up with Drafting for required files, including DXF files for arched units.

Estimation & Sales Support

• Prepare estimates using our estimating software and established pricing procedures.
• Create order acknowledgments and send contracts through DocuSign.
• Prepare invoices and supporting billing documents for review.

Project & Production Administration

• Create and print Zebra labels for production, packaging, hardware, and installation kits.
• Prepare packing slips.
• Maintain organized project folders, including QC reports, photos, and delivery records.
• Send approved QC photos and packing slips to customers following delivery.
• Prepare and distribute shop documents.
• Answer phones warmly and professionally, route inquiries, and track follow-up.

HR & Payroll Administration

• Schedule interviews and coordinate candidate communications
• Complete employee onboarding in ADP.
• Coordinate training schedules and maintain completion records and signed acknowledgments.

What We’re Looking For

• Experience in administration, purchasing, sales support, or project coordination.
• Confidence asking questions and following up across departments.
• Strong organization, attention to detail, and reliable task completion.
• Clear written communication and a friendly, professional phone presence.
• Comfort working in both an office and manufacturing environment.
• Comfort learning software and using AI tools.
• Ability to read dimensions, and learn product specifications and ordering procedures.
• Ability to prioritize competing tasks.

Manufacturing, construction, window and door, purchasing, or CAD experience is a plus. CAD drafting is not required.

Compensation

$24–$26 per hour, depending on experience.
