Accounts Payable Specialist – Join Our Team!
Our Accounts Payable team plays a vital role in maintaining smooth financial operations, ensuring we stay on track, on time, and in good standing with our valued partners. We are looking for a detail-oriented, results-driven Accounts Payable professional with a strong understanding of accounts payable and general accounting principles. The successful candidate will thrive in a fast-paced environment, working collaboratively with the team, while also managing tasks independently and balancing workloads.
This role involves processing invoices, auditing, performing account reconciliations, and ensuring timely and accurate payments. Proficiency in Excel is essential for success in this position.
Schedule:
- Monday to Friday, 8:00 AM - 5:00 PM (1-hour unpaid lunch break)
Key Responsibilities:
● Process invoices using the 3-way matching method and reconcile accounts.
● Review all invoices for proper documentation, coding, and approval before processing payments.
● Handle high-volume invoices for both expenses and inventory received.
● Process payments via check, credit card, ACH, and wire transfers; match invoices to payments, obtain necessary approvals, and distribute payments to vendors.
● Address vendor inquiries professionally and promptly.
● Reconcile vendor statements, resolve discrepancies, and ensure accuracy.
● Maintain and manage 1099 records.
● Organize and maintain files and documentation in line with company policy and accounting standards.
● Generate daily and monthly financial reports.
● Clean and upload data from Excel sheets for accounting purposes.
● Reconcile balance sheet accounts at month-end. (e.g., prepaids, accruals, fixed assets, depreciation)
● Create and upload monthly general journal entries.
Experience and Qualifications:
● Minimum 2 years’ experience in Accounts Payable or similar financial role.
● Experience with accounts payable systems, financial chart of accounts, and corporate procedures.
● Demonstrated ability to analyze and reconcile vendor accounts.
● Familiarity with NetSuite Oracle (preferred)
● Strong multi-tasking skills and the ability to maintain accuracy and organization under pressure.
● Experience working with high-volume accounts payable processing.
Required Skills:
● Proficiency in accounts payable, including mathematical computations and data entry.
● Quick learner with a proactive approach to advancing knowledge.
● Advanced proficiency in Microsoft Excel.
● Ability to work both independently and as part of a team in a high-volume, fast-paced environment.
● Strong organizational, multi-tasking, and planning skills.
● Excellent problem-solving, research, and resolution skills.
● Strong verbal and written communication skills.
