Administrative Coordinator

Responsibilities

  • Deliver outstanding customer service by responding to phone and online inquiries promptly and professionally
  • Prepare and process proposals based on direction from the sales team
  • Address client questions regarding scheduling, services, and project status
  • Maintain accurate records of work orders, job progress, and client information
  • Facilitate ongoing communication with prospective and existing clients
  • Coordinate internal workflows to ensure projects are ready for scheduling and execution
  • Assist with billing, accounts receivable, and general administrative tasks
  • Identify opportunities to enhance the client experience and support additional service offerings
  • Provide general administrative support, including documentation, organization, and internal communication
  • Support leadership with special projects and process improvements as needed

Qualifications

  • Minimum 3 years of customer service experience (required)
  • Strong organizational and time management skills
  • Excellent verbal and written communication abilities
  • Proficiency with Microsoft Office (Word, Excel, Outlook) or similar tools
  • Comfortable working in a fast-paced, team-driven environment
  • Experience supporting sales processes or working with CRM/ERP systems (preferred)
  • Knowledge of landscaping, construction, home services, or related fields is a plus, but not required
  • Ability to commute to Mukwonago, WI 53149 (required)
