Administrative Specialist I (S) Position Number: 60013156 Grade: NC08 Job Location Charlotte OSH Field Office, North Carolina Job Summary This position is located in the Charlotte OSH Field Office and reports to the Program Coordinator II for OSH West administration. The role serves as receptionist and administrative support for three District Supervisors and approximately 40 OSH Compliance Officers. Primary Responsibilities Handles and directs incoming calls from businesses, government officials, and the general public. Drafts, types, files, and scans all documents pertaining to all case file types. Processes all incoming and outgoing mail through the Osha Express System, performing internal audits to ensure procedures are followed. Day‑to‑day processing of complaints, referrals, citations, etc.; prepares documents for USPS and Certified Mail. Maintains closed files and prepares transfer to the Planning, Statistics and Information Management Bureau for archiving. Working Hours Monday–Friday, 8:00a.m. – 5:00p.m. Occasional overnight travel required. Knowledge, Skills & Abilities Excellent multitasking and courteous public‑inquiry response. High attention to detail with accuracy and confidentiality. Ability to establish and maintain working relationships and follow general instructions. Competency in Microsoft Word and Excel. Valid driver's license; ability to obtain a notary within 90 days of hire and maintain it. Experience with all work processes and office equipment in a large office environment. Preferred: Experience with SQL MDI database systems; bilingual in Spanish and English. Minimum Qualifications High school diploma or GED and two years of related administrative experience. Must reside within a 50‑mile radius of the Charlotte OSHA Field Office or relocate within 30 days of job acceptance. Background Check Applicants may be subject to a background check.
