As a Front Desk Clerk, you will provide front desk services, in cooperation with other front desk staff and Courtesy Officers, ensuring excellence in customer service to Blue Skies of Texas residents and visitors while maintaining strict security guidelines to ensure a safe and enjoyable environment.
What you will do in this role:
- Greets residents, guests, and visitors and assists them with questions, directions, purchasing postage, sending documents via facsimile, making copies, and answering requests for information.
- Responds to SARA Emergency Call System and fire alarm panel in accordance with established procedures.
- Coordinates requests for assistance directly with the on-duty Courtesy Officer.
- Operates the automated point-of-sale (POS) and postage metering systems and performs the following functions:
- Enters all Village Store purchases into the POS.
- Operates postage metering machine and enters sales into POS.
- Enters all other type sales such as copies and faxes into POS.
- Follows all internal control and operating procedures and policies.
- Registers guestroom visitors at check-in and check-out; maintains accurate record of guestroom activities in order to maximize utilization of rooms and provide excellent customer service to visitors.
- Maintains strict accountability of all cash (may include petty cash) and checks processed through the Front Desk area, as well as equipment such as radios, cell phones, keys, and microphones, and promptly reports any discrepancies to Supervisor; duties may vary between locations and shiftsdefers to Supervisor for cash handling responsibilities.
- Ensures areas under Front Desk control remain secure, including limiting unauthorized visitors beyond established points.
- Ensures the front desk is always manned with the assistance of the Courtesy Officer as needed.
- Ensures efficient flow of internal mail by promptly routing all mail entering the Front Desk to the appropriate department.
- Responds to requests from residents or guestroom visitors regarding maintenance or housekeeping needs, coordinates same with the Maintenance and Environmental Services departments, and enters service requests into the work order system; utilizes good judgment after hours determining if an on-call employee must be contacted.
- Monitors and updates the in-house television station; promptly reports any issues to Supervisor.
- Maintains and submits daily "desk report" of significant events and actions taken on shift, as applicable.
- Issue parking passes and parking decals for employees, guests, and residents.
- Answers incoming phone calls using effective customer service skills and forwards calls, as appropriate.
- Assists with preparing and making deposits, following strict cash handling guidelines.
- Monitors the closed-circuit security camera TV screens and promptly reports any concerns to the on-duty Courtesy Officer.
- Controls campus entry during off-peak hours when the main gate is not manned; verifies authorization before permitting entry.
- Stock inventory in Village Store as directed by supervisor.
- Light cleaning (Dust shelves in store, sanitizing, cleaning coolers, wiping down countertops and desktop areas)
- Performs other duties as assigned by Supervisor.
Qualifications
Qualifications:
- Required: High school diploma or equivalent.
- Preferred: At least one year of office, clerical, or secretarial experience. Some college hours or trade school training in business or a related discipline is desirable. Prior military experience is a plus.
- Required: Possess and maintain a valid, current driver's license with a good driving record and remain insurable by Blue Skies of Texas carriers.
- Required: Ability to work with only general supervision, exercise mature judgment, and be detail-oriented and able to function in an environment with frequent interruptions requiring multiple tasks being performed simultaneously.
- Required: CPR & First Aid Training Requirement: As part of our commitment to safety and preparedness, please note that this position requires the employee to act as a first responder. You will be required to attend CPR & First Aid classes provided by Blue Skies of Texas within the first 60 days of employment and thereafter, annually.
- Excellent telephone etiquette and customer service skills are musts, as well as the ability to speak, read, write, and follow verbal and written instructions in English.
Equipment and Computer Operations
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Familiarity with procurement software (Equips) is beneficial
