Program Coordinator GME - SOM Radiation-Oncology

Responsibilities Serve as the lead administrative person for the GME residency/fellowship program. Manage the daily operations and activities of the program. Function as an important liaison with learners, faculty and other staff, and with the ACGME. Assist the Program Director and other Coordinators in designing, implementing and managing the administrative/academic operations of the program. Coordinate educational activities (didactic conferences, Grand Rounds, etc.) that support the curriculum and adhere to ACGME requirements. Provide guidance to residents/fellows on program and GME policies, and non‑clinical aspects. Design, deliver, and report timely completion of resident/fellow, faculty, and program evaluations through the Residency Management System (RMS). Coordinate accreditation activities including ACGME site visits, self‑studies, internal reviews, and annual program reviews. Develop understanding of ACGME policies and procedures, including the Common Program Requirements and specialty‑specific requirements. Ensure GME and departmental policies are communicated and available. Assist with resident/fellow recruitment and selection, and oversee the appointment process for incoming trainees in coordination with GME Office policies. Assist the Program Director and faculty in planning quality‑improvement projects. Prepare Program Letters of Agreement with participating institutions and training sites, and ensure they are revised as needed. Track, document and report on educational activities to meet board certification and accreditation requirements. Maintain close working relationships with the Office of GME to remain compliant. Coordinate, organize and schedule GME program events including recruitment, orientation, graduation, retreats, conferences and meetings. Prepare and distribute materials for conferences and lectures. Attend all GME‑driven meetings and trainings. Qualifications Education: Associate's degree or equivalent (if Bachelor’s, no prior experience required; if Associate's, three years of related experience; if high school diploma, five years of related experience). Licensure/Certification: None required. Knowledge, Skills, and Abilities: Leadership and personnel management; strong organizational skills; excellent oral and written communication; proficiency with Microsoft Office; prioritizing and meeting deadlines; independent decision making; cooperative working relationships; familiarity with ACGME, TMB, NRMP policies; understanding of hospital regulatory environment; initiative and adaptability; diplomacy, compassion, sensitivity; handling sensitive information confidentially.
