Job Title: Grants Associate



Location(s): San Francisco, CA

(Hybrid: Schedule-working 2 days per week)

Job Summary:
Provides analytical, financial, and administrative support for contract and grant proposal development, grant writing, funding administration, and budget development. Responsibilities include supporting pre-award proposal preparation, post-award fund management, closeout activities, research funding analysis, proposal coordination, compliance review, contract and grant administration, financial reporting, and subaward management.

Position Overview:
This role supports research proposal and award administration by assisting a team of Research Services Coordinators and award specialists. Key responsibilities include:

• Collecting and following up on proposal and award documentation from Principal Investigators (PIs), collaborators, and subcontractors (biosketches, other support documents, salary and effort information).
• Assisting with proposal preparation and compiling final submission packages while ensuring proper formatting, page limits, updated forms, and completeness.
• Monitoring proposal, award, and reporting deadlines.
• Drafting post-award correspondence, including No-Cost Extension (NCE) requests, carry-forward requests, and other administrative documentation.
• Assisting with preliminary proposal budget preparation.
• Supporting compliance with federal proposal guidelines and sponsor regulations.
• Maintaining electronic document management systems for research administration activities.

Qualifications:

• Bachelor's degree in a related field or an equivalent combination of education and relevant experience.
• Familiarity with research administration and grant proposal submission processes.
• Knowledge of federal grant regulations and proposal requirements is preferred.
• Strong organizational, communication, documentation, and time management skills.
• Ability to manage multiple priorities and meet strict submission deadlines.

Work Schedule:

• Monday through Friday.
• 08:00 AM - 05:00 PM.
• Hybrid schedule with 2 days per week onsite.
