ABOUT THE JOB

The Sales Administrator plays a critical role in supporting the sales team by ensuring accurate processing of quotes, contracts, customer information, and sales-related reporting. This position serves as the bridge between Sales, Operations, Customer Service, Purchasing, and Accounting to help deliver exceptional customer experience while improving efficiency and profitability.

The ideal candidate is highly organized, detail-oriented, customer-focused, and thrives in a fast-paced environment. This position is based full-time at our Tampa, FL headquarters.

Key Responsibilities

Sales Support

• Provide administrative support to the sales team and leadership.
• Prepare, review, and distribute sales proposals, bids, and customer quotations.
• Assistin the preparation of builder contracts, pricing agreements, and customer documentation.
• Manage incoming sales inquiries and direct them to theappropriate sales representative.
• Coordinate communication with manufacturer partners when needed for quoting.

Customer & Account Management

• Maintainaccuratecustomer records within CRM and ERP systems.
• Serve as one of thepointscontact for customersregardingorder status and general inquiries.
• Assistwith resolving customer issues by coordinating with internal departments.

Order & Project Coordination

• Enter and track sales orders accurately and efficiently.
• Monitor orders fromquotethrough installation and completion, keeping sales team and customers proactivelyupdatedas necessary.
• Assistin managing builder community information,permitreports and project updates.

Reporting & Analytics

• Generate weekly and monthly sales reports.
• Assistinmaintainingsales dashboards and reporting tools.

Administrative Duties

• Maintain organized electronic and physical files.
• Prepare presentations, spreadsheets, and sales materials.
• Support special projects andinitiatives asassigned.
• Ensure compliance with company policies and procedures.
• Maintainsampleslevels and requests with manufacturers.

Qualifications

Education & Experience

• Associate or bachelor’s degree preferred.
• 2+ years of administrative, sales support, customer service, or coordinator experience.
• Experience in construction, building products, garage doors, windows, roofing, or related industries is preferred.

Technical Skills

• Proficiencyin Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
• Experience with CRM software and ERP systems preferred.
• Ability to create reports, analyze data, andmaintaindatabases.

Physical Requirements

• Prolonged period of times at a desk and on a computer
• Must be able tolift upto 15 pounds on occasion
