Job Summary
Responsible for performing administrative support duties within the assigned area. Responsibilities are specific to the organizational unit (i.e. region, district, department, plant, etc.)
Job Description
What you’ll do:
Major responsibilities: under immediate supervision, perform basic, routine administrative duties, following well defined, standard procedures, assist with document processing, assist in compiling special reports and request information from other areas, assist in filing and retrieval of information in both hard copy and electronic formats, answer telephone, take messages, communicate via electronic mail as necessary, receive and distribute incoming and outgoing mail, use keyboard (computer/typewriter) to enter data, perform calculations and/or retrieve information, operate a wide variety of electronic and mechanical office equipment.

Ordering office, kitchen, and cleaning supplies for the DDC
Assisting with timesheets
Assisted with expense reports
Updating employee staffing lists
Submitting access requests for new employees
Issue PPE to new employees
Request badges, parking passes, and name plates for new employees (Shaun and I split this)
Filling the cooler for meetings
Ordering meals for meetings
Restocking drinks and snacks in the closet (Shaun and I split this)
Reserving/coordinating rooms for meetings
Communicating with Fleet Dept about the dept Jeep needs/maintenance
Maintain multiple smartsheets for tracking all the above
Problem solving and initiative:
Applies basic education and training in job responsibilities and assignments.
Asks questions when unsure of how to handle an assignment and demonstrates ability and initiative to handle assignments beyond the basic, routine level.

Minimum requirements for SG 03 Administrative Assistant:
Education requirements are listed below:
- High school or GED
Work Experience requirement listed below:
Six-nine months of post-high school experience in learning and utilizing administrative office procedures, practices and equipment (i.e. business English, grammar, spelling, punctuation, letter writing, telephone technique) desirable.
Must possess the ability to organize data and processes and communicate effectively, both orally and in writing.
Displays good analytical and problem-solving skills
Demonstrated proficiency with computers and the use of office-oriented software products
Minimum requirements for SG 04 Administrative Assistant Sr.
Education requirements are listed below:
- High school graduate or GED.
Work Experience requirement listed below:
3-4 years of related experience in utilizing administrative office procedures, practices and equipment (i.e. business English, grammar, spelling, punctuation, letter writing, telephone technique) desirable.
Experience should also include varied business situations or circumstances which tend to favorably develop the job incumbent in terms of confidentiality, maturity, discretion, personal tact, judgment and initiative.
Must possess the ability to organize data and processes and communicate effectively, both orally and in writing.
Displays good analytical and problem-solving skills.
Demonstrated proficiency with computers and the use of office-oriented software products.
What you’ll get:
SG 03 Administrative Assistant pay starting between $22.14/hour and $27.68/hour.
SG 04 Administrative Assistant Sr. pay starting between $26.00/hour and $32.49/hour.
