We are seeking a highly organized and detail-oriented Office Administrator to support our accounting, inventory management, shipping operations, quality system administration, and general office functions. This role is ideally suited for an individual who appreciates variety, demonstrates ownership of their responsibilities, and excels in a small-business environment. Role Description The Office Administrator is responsible for coordinating daily office operations, managing accounting processes, supporting inventory and shipping activities, preparing sales reports, and serving as the company's ISO 9001 Management Representative. This position works closely with leadership and plays a critical role in ensuring the organization runs efficiently. Key Responsibilities Accounting & Finance Process accounts payable, including vendor invoices, credit card charges, and payments. Generate customer invoices and support accounts receivable collections. Prepare aging reports and maintain accurate financial records. Support monthly accounting and inventory period-end activities. Inventory & Shipping Coordinate shipping and receiving activities. Maintain inventory records and reconcile inventory discrepancies. Prepare packing slips, commercial invoices, and shipping documentation. Process inventory transactions in the MRP and accounting software. Prepare sales reports and commission reports. Support management with operational and financial reporting. Office Administration Manage office and kitchen supplies. Support daily office operations and administrative activities. Assist with company meetings, events, and team-building activities. Quality Management Serve as the ISO 9001 Management Representative. Support quality system documentation, audits, and management review meetings. Help maintain compliance with company quality processes. Qualifications Associate's or Bachelor's degree in Business, Accounting, or related field preferred. 3+ years of office administration, accounting, bookkeeping, or operations experience. Experience with QuickBooks required. Experience with MISys or inventory management software preferred. Strong proficiency in Microsoft Excel and Microsoft Office. Understanding of Accounts Payable, Accounts Receivable, and general bookkeeping principles. Excellent organizational skills and attention to detail. Strong written and verbal communication skills. Ability to work independently and manage multiple priorities. Preferred Qualifications Experience in a manufacturing, electronics, or technology environment. Familiarity with ISO 9001 quality management systems. Experience with inventory control and shipping operations.
