Job Title Program Specialist I Agency Texas A&M Engineering Department Turbomachinery Laboratory Location College Station, Texas Job Type Staff Job Description The Program Specialist I provides general office support for the Program Manager, including preparing, formatting, and sending correspondence, assembling and distributing materials, and assisting with symposia program, registration, and budget tasks. The role also reviews document accuracy, maintains electronic and hard‑copy files, answers phones, operates standard office equipment, and performs other duties as assigned. Responsibilities Handle online registrations, database entry, and all delegate registration correspondence, acting as the Symposia Registration Counter Coordinator with the Program Specialist and Program Manager. Assist with pre‑, during‑, and post‑symposia tasks such as packing/unpacking supplies, counter set‑up and take‑down, registration coordination, and other preparatory duties. Support the Program Manager with budget and spending records for laboratory support, research, and symposium accounts, and assist with monthly/year‑end accounts and expenditure balancing. Coordinate administrative support functions, supervise, train, and evaluate student workers. Serve as unit records management coordinator and liaison between functional areas and outside units, recommending and assisting with implementation and auditing of unit procedures. Support program and advisory committee coordination and correspondence, edit and maintain symposia program software (Aventri), create meeting documents, audit files for distribution, create and send plaques for authors, handle author correspondence, and collect proceedings. Perform similar duties in support of the Center’s activities beyond the main symposia throughout the calendar year. Complete other duties as assigned. What We Need Bachelor's degree or equivalent combination of education and experience. What Is Helpful Event planning and customer service experience. Proficiency with Microsoft Office Suite. Knowledge, Skills and Abilities Strong interpersonal and communication skills. Effective organization and ability to meet deadlines. Willingness to travel to symposia annually or as needed, with potential for increased frequency. About the Turbomachinery Laboratory The Turbomachinery Laboratory (Turbo Lab) conducts fundamental and applied research in Rotordynamics and Mechanical Systems, Thermal Fluids and Combustion, and Computational and Modeling Design. The lab’s Turbomachinery and Pump Symposia (TPS) are held annually in Houston, Texas, and the Asia Turbomachinery and Pump Symposium (ATPS) biennially in Kuala Lumpur, Malaysia.
