Assistant Manager

Key Responsibilities

Daily Operations & Team Leadership

• Lead the team during service and ensure smooth daily execution.
• Assign station responsibilities and support workflow throughout each shift.
• Train and coach team members on recipes, procedures, cleanliness standards, and customer service.
• Ensure opening, mid-shift, and closing responsibilities are completed properly.
• Serve as the point person for team questions and operational decisions.
• Maintain a positive, organized, professional, and efficient work environment.

Prep Oversight & Product Execution

• Oversee daily prep production and ensure ingredients are prepared accurately and on time.
• Ensure smoothies, bowls, paninis, coffee, and matcha beverages are prepared according to recipes and brand standards.
• Verify portioning, presentation, consistency, and overall product quality.
• Monitor product freshness and availability throughout service.
• Ensure team members consistently follow recipes and proper production procedures.

Food Safety & Quality Control

• Maintain compliance with NYC/NY State Department of Health requirements and company food-safety standards.
• Monitor proper food handling, storage temperatures, labeling, and expiration dates.
• Ensure FIFO (First In, First Out) procedures are followed consistently.
• Maintain cleanliness and sanitation standards throughout each shift.
• Conduct quality checks to ensure all products meet brand standards.

Inventory, Ordering & Supply Management

• Conduct weekly inventory reviews and assess ingredient, packaging, and supply needs.
• Place weekly orders for ingredients, beverages, packaging, cleaning supplies, and other operational items.
• Maintain appropriate inventory levels based on sales volume, upcoming events, and production requirements.
• Review inventory usage and adjust ordering quantities to reduce waste and prevent stockouts.
• Receive and inspect deliveries for accuracy, quality, quantity, and condition.
• Verify expiration dates and ensure incoming products are stored properly.
• Maintain organized refrigeration, dry storage, and supply areas.
• Ensure all ingredients are properly labeled, dated, and stored according to FIFO standards.
• Communicate inventory concerns, vendor issues, or product shortages to management.
• Identify appropriate substitutions or operational adjustments when necessary.

Customer Service & Order Accuracy

• Ensure accurate order entry and efficient service.
• Monitor menu execution and resolve customer concerns professionally.
• Support third-party delivery platforms and troubleshoot order issues.
• Support catering orders and ensure order accuracy when relevant.
• Maintain a positive customer experience during high-volume periods.
• Ensure orders are prepared, packaged, and presented correctly.

Equipment & Maintenance

• Monitor equipment functionality and report issues promptly.
• Ensure proper operation and care of blenders, panini presses, refrigeration, coffee equipment, and other smallware.
• Complete basic equipment cleaning and maintenance procedures.
• Maintain equipment cleanliness and ensure team members follow proper operating procedures.
• Escalate equipment concerns and maintenance needs to management.

Team Accountability & Communication

• Hold team members accountable for recipes, cleanliness standards, and operational procedures.
• Provide regular feedback and coaching to improve performance.
• Communicate daily priorities, operational updates, and inventory needs to management.
• Support onboarding and ongoing training of new team members.
• Lead by example and contribute to a positive team culture.

Qualifications & Requirements

• 2–3+ years of experience in a quick-service restaurant, café, coffee shop, smoothie bar, or fast-casual environment required.
• Must have a valid NY Food Handler’s License or obtain one within the required timeframe after hire.
• Ability and willingness to work weekends, holidays, and varying shifts based on business needs.
• Ability to lift and carry up to 25 pounds .
• Ability to stand for extended periods and work in an active, fast-paced environment.
• Strong attention to detail and ability to consistently follow recipes and operational standards.
• Ability to multitask, prioritize responsibilities, and maintain accuracy during busy service periods.
• Strong communication, leadership, and problem-solving skills.
• Must demonstrate professionalism, reliability, accountability, and a positive attitude.
• Must follow company standards and all applicable regulations related to serving alcoholic beverages, if applicable.
