Position Overview:

The Medical Receptionist will play a vital role in both patient-facing and partner-facing responsibilities, ensuring smooth operations within our clinic and facilitating positive relationships with external collaborators. This role will manage administrative tasks, assist patients and external partners, and provide scheduling and communication support. The Medical Receptionist will be knowledgeable in multiple functions and cross-trained to offer coverage as needed in different areas of the clinic.

Key Responsibilities:

• Greet and check in patients for individual and group appointments, ensuring clinic flow is well-managed.
• Assist with scheduling and rescheduling appointments for patients and individuals referred by external partners (such as parolees or probationers).
• Respond to patient inquiries related to medical records, services, and care options, and guide patients through the check-in process for group sessions.
• Act as the primary point of contact for external collaborators, answering inquiries about Ascent Health’s services and directing them to appropriate internal contacts.
• Monitor and return voicemail messages in a timely and professional manner, while also managing multi-line phone systems to handle high call volumes.
• Provide administrative support to clinical staff, including managing the medical team’s email, pharmacy issues, prior authorizations, and addressing documentation alerts.
• Collaborate with internal teams to address patient concerns and ensure timely resolution, using de-escalation techniques when needed.
• Maintain knowledge of Ascent Health’s services, as well as partner organizations, to provide accurate information to patients and collaborators.
• Document patient interactions and follow up on missed appointments (e.g., MAT med checks), ensuring proper documentation within our electronic health records (EHR) systems.
• Support the communications department with outreach efforts related to partner organizations.

Required Skills:

• Proficiency in Microsoft Office Suite, Google Suite, and electronic medical records systems.
• Strong organizational, time management, and multitasking abilities to manage high volumes of patients and external communications.
• Excellent verbal and written communication skills, with a strong focus on customer service and professionalism.
• Empathy and active listening skills, with the ability to de-escalate challenging situations and maintain positive patient experiences.
• Flexibility to adapt to changing needs and provide cross-functional support within the clinic.
• Attention to detail and a strong commitment to maintaining patient confidentiality.
• Experience with multi-line phone systems and scheduling management.

Qualifications :

• High school diploma or equivalent required. Further education in healthcare, communications, or business preferred.
• Experience in a medical office setting, customer service, or reception role preferred.
• Familiarity with partner organizations and the criminal justice system (e.g., parole or probation processes) is a plus.
• Bilingual (English/Spanish) preferred but not required Spanish: $24.03 English: $21.63

Schedule: Monday to Friday, 7:00 AM – 4:00 PM ( In-Person ),  NO WEEKENDS
