Major Real Estate company is seeking a seasoned Lease Administration Analyst to join their team and immediately contribute to accurate lease portfolio management. The ideal candidate will have extensive lease administration experience, a strong grasp of lease terms and compliance, and the agility to thrive in a dynamic, fast-paced environment. This role is key in supporting cross-functional teams by delivering precise lease data and leveraging AI tools to automate routine tasks and enhance quality control.
Responsibilities
- Calculate and prepare tenant billings for Common Area Maintenance (CAM), Insurance, Utilities, and Real Estate Taxes using MRI software.
- Analyze and compare current and prior year expenses, providing clear variance explanations.
- Maintain organized, uniform billing support files per departmental guidelines.
- Research and resolve tenant billing disputes, including CAM and Tax audits, ensuring timely revisions or escalation.
- Collaborate with Accounting, Leasing, Tenant Coordination, Property Management, and Legal teams to interpret lease terms and address tenant matters.
- Abstract, interpret, input, and analyze lease agreements, amendments, assignments, and related legal documents.
- Ensure billing accuracy and compliance with lease terms, including charge types, MRI expense pool setups, and calculation methods.
- Prepare and maintain weekly work status schedules for management review and effective task prioritization.
- Regularly monitor reconciliation tracking schedules to confirm timely completion.
Required Qualifications
- Bachelor’s degree required.
- Commercial Real Estate experience is a must.
- 3-5 years of lease administration experience, preferably with retail properties.
- Strong knowledge of lease terms, legal language, and financial components.
- Proficiency with lease administration software such as MRI, JDE, Yardi, or similar.
- Excellent attention to detail and organizational skills.
- Ability to work independently and juggle multiple priorities.
- Thrives in a collaborative, detail-oriented team environment valuing accuracy, ownership, and continuous improvement.
Preferred Qualifications
- Experience using AI tools (e.g., Claude, ChatGPT, Microsoft Copilot) in professional workflows.
- Skilled at prompting AI agents to produce lease abstracts, billing drafts, or variance analyses.
- Comfortable reviewing, validating, and correcting AI-generated results before submission.
- Interest in shaping and documenting AI-assisted workflows as the team expands this capability.
