Proposal Coordinator

Distinct Engineering Solutions, Inc. (DESI) Location: North Brunswick, NJ (On-site) Employment Type: Full-time About the Role Distinct Engineering Solutions, Inc. (DESI) - a multidisciplinary civil engineering firm headquartered in New Jersey - is hiring an RFP / Proposal Coordinator to support our growing pipeline of public and private engineering projects. This role involves managing engineering proposals, coordinating across teams, and ensuring the timely and compliant submission of RFPs/RFQs. You will work closely with our engineering, operations, and finance teams and gain hands-on exposure to the full proposal and project coordination process. We welcome recent graduates eager to build experience as well as candidates with a few years of proposal or coordination work. Key Responsibilities Review RFP/RFQ documents and identify submission requirements, deadlines, and compliance criteria Coordinate with internal teams (engineering, operations, finance) to gather required technical inputs Support preparation of proposal documents including cover letters, resumes, project experience, and forms Maintain proposal schedules and ensure all deliverables are completed on time Format and compile proposal packages in accordance with client requirements Track addenda, clarifications, and updates related to active bids Maintain a library of standard proposal content, templates, and past submissions Assist in submitting proposals via online portals or email Support post-submission follow-ups and documentation Required Qualifications Bachelor's degree in Civil Engineering, Business, Communications, or a related field 0-3 years of experience; recent graduates are welcome to apply Strong organizational and time-management skills Excellent written and verbal communication skills Proficiency in Microsoft Office (Word, Excel, Outlook) Ability to manage multiple deadlines in a fast-paced environment Preferred Qualifications Experience with RFP/RFQ processes in the engineering, construction, or consulting industry Familiarity with proposal or bid-management tools Basic understanding of technical documents, drawings, or specifications Exposure to public-agency procurement (NYC/NJ) is a plus Attention to detail and formatting consistency Key Skills Proposal coordination & compliance tracking Strong Excel and document-formatting skills Cross-functional communication across engineering, operations, and finance Work Setup On-site role based in North Brunswick, NJ 5 days a week in office Occasional coordination with project teams and client agencies across NY/NJ Competitive compensation packages Company-paid medical, dental, and vision coverage Life insurance and short- and long-term disability insurance 401(k) with company match Educational reimbursement, paid time off, and performance-based growth opportunities Why Join Us At Distinct Engineering Solutions, you'll be part of a growing team working on impactful infrastructure and engineering projects across the U.S. You'll gain hands-on experience in proposal coordination and project support while collaborating with experienced professionals - and chart your own path to grow with the company.
