Location: 80% at Clifton & 20% at Jersey City, NJ Offices

Candidate must be flexible to travel to the satellite offices one to two times per months (Perth Amboy, Hamilton, Lumberton)

Full-Time – Onsite Work Environment, (5 days a week)

Our client’s organization is a continuously growing, multi-office medical practice specializing in spine, shoulder, and other orthopedic-related conditions, with locations throughout New York and New Jersey. They are seeking an exceptionally skilled Surgical Coordinator with personal injury experience to join their team in Clifton and Jersey City, NJ.

With a total of 11 clinic locations throughout NY and NJ, this role offers a unique blend of professional expertise, autonomy, and collaboration. The successful candidate will coordinate orthopedic surgical services and provide support to an experienced team of physicians, personal injury attorneys, and insurance professionals.

Our client’s organization specializes in spine, shoulder, and other orthopedic conditions, providing excellence in the diagnosis and treatment of a wide range of musculoskeletal issues.

The organization specializes in the interventional treatment of common and complex spine-related conditions. Its team of specialists has extensive expertise in procedures and interventions designed to alleviate symptoms associated with neck and back pain, herniated discs, spinal stenosis, fractures, spinal instability, slipped discs, pinched nerves, and sciatica.

The team also has extensive experience treating neck and back injuries that cause severe pain and related symptoms. The medical conditions they regularly diagnose and treat include radiculopathy, myelopathy, spondylolisthesis, degenerative disc disease, and scoliosis.

Objectives of this role

• Serve as the primary point of contact among patients, surgeons, personal injury attorneys, insurance companies, and surgical facilities to coordinate clearances and surgical procedures.
• Accurately schedule, pre-screen, and pre-register patients for services provided by the practice.
• Coordinate surgical procedures with physicians, patients, and surgical facilities.
• Maintain and manage surgical schedules, ensuring accuracy and timeliness.
• Explain the outpatient registration process to patients during scheduling encounters.
• Verify insurance coverage, eligibility, and benefits for surgical services. Follow established protocols for obtaining necessary authorizations and secure pre-authorizations for procedures.
• Track surgical authorizations and collaborate with the authorization team to ensure compliance with established requirements.
• Communicate surgical instructions, preparation details, and postoperative requirements to patients.
• Thoroughly and clearly explain examination preparation instructions to patients scheduled by telephone or in person.
• Process all requisitions and required paperwork for examinations and verify pertinent patient information.
• Enter patient information into the computer system and ensure its accuracy at every visit.
• Obtain completed registration forms from new patients and update demographic profiles at each visit.
• Review superbills for diagnosis codes, procedure codes, and physician signatures.
• Maintain and respect patient confidentiality, particularly in accordance with HIPAA regulations.
• Collect payments for services rendered and perform daily reviews of super-bills.
• Schedule appointments, follow up with patients, create new appointments as needed, resolve scheduling conflicts or delays, and escalate issues when appropriate.
• Respond to telephone inquiries, address messages promptly, assist patients, and notify appropriate staff of urgent matters and priorities.
• Demonstrate respect and professionalism while working effectively as part of a team to ensure quality service for patients, physicians, and internal team members.
• Perform additional projects and duties as assigned by management.
• Complete the organization’s two-week training program covering New York State surgical coordination procedures and claims protocols.

Required Skills and Qualifications

• High school diploma or equivalent required; an associate degree or higher in a healthcare-related field preferred.
• Minimum of 3 years of experience in surgical coordination, physician office operations, and surgical scheduling.
• Minimum of 1 year of experience in personal injury surgical coordination, including working with personal injury attorneys and insurance companies.
• Experience in orthopedic-related to personal injuries including motor vehicle, worker’s comp., injury surgical coordination.
• Knowledge of surgical procedures, medical terminology, and healthcare compliance requirements.
• Excellent professional communication skills, with the ability to assist stressed patients with empathy and composure.
• Experience with data entry and the ability to ensure accuracy to prevent surgical scheduling delays or denials.
• Exceptional organizational and adaptability skills, with the ability to manage a high volume of patients.
• Experience in healthcare and a strong commitment to providing excellent patient and customer service.
• Proficiency in Microsoft Office Suite and telephone systems is essential.

Preferred Skills and Qualifications

• A strong and comprehensive understanding of medical office best practices, orthopedic anatomy, surgical terminology, and high-volume surgical scheduling is a plus.
• Familiarity with medical billing and coding practices is highly desirable.
• Experience working in a hospital or surgical center environment with multidisciplinary teams is preferred.
• Familiarity with insurance verification processes and healthcare billing procedures.
• Proficiency in EMR and healthcare management software is a plus.
• Demonstrated ability to manage multiple priorities in a fast-paced clinical setting.
