Overview: This role supports the smooth operation of physician practice offices by organizing, coordinating, and supervising activities related to medical office staff, including secretaries and Medical Assistants. Acting as a key resource in the absence of the Practice Coordinator, this position ensures excellent patient service and efficient practice operations across multiple locations.

Front Office Responsibilities:

• Manage typing, copying, and creation of forms and reports, ensuring timely and accurate communication.
• Handle phone calls, voicemails, and paging for physicians and staff, maintaining coverage and message accuracy.
• Maintain filing systems for patient and non-patient correspondence.
• Provide feedback to improve front office efficiency and effectiveness.
• Utilize hospital EMR systems proficiently to support front office duties.

Clinical Patient Care Duties (for Medical Assistants or LPNs):

• Deliver direct patient care and triage calls, providing reassurance and education.
• Prepare patients for exams, obtain vital signs, and document medical records accurately.
• Assist physicians with treatments, minor procedures, and medication management.
• Coordinate patient testing, referrals, and follow-up communications.
• Ensure patient understanding of treatment plans and medication instructions.

Administrative Leadership:

• Oversee daily operations and staffing of secretaries, receptionists, and Medical Assistants.
• Represent the department in public relations, committees, and educational initiatives.
• Manage scheduling, training, and performance reviews in collaboration with leadership.
• Maintain safe and functional work environments and coordinate necessary repairs.
• Plan and implement staff development and educational programs.
• Prepare departmental records, reports, and policy documentation as directed.

Education and Experience:

• Associate degree or equivalent required; candidates pursuing a bachelor's degree with at least two years completed coursework may be considered.
• Completion of an accredited Medical Assistant or Nursing (LPN) program required or must be completed within three years of hire.
• Minimum of five years experience in secretary, receptionist, or Medical Assistant roles.

Work Schedule: Full-time, 8:00 AM to 4:30 PM, 40 hours per week.

This position is located in a regional healthcare setting within the Midwest United States.
